Overview:

Our Store Operations team is the heartbeat of our business, ensuring that our brands deliver exceptional experiences to millions of customers daily. We are looking for a high-performing, proactive, and collaborative Regional Administrative Assistant to serve as a strategic partner to our regional business and executive leadership teams from the office in Plano, TX.

As the Regional Administrative Assistant, you will be more than support—you will be a trusted partner. Operating in a high-visibility, hybrid office environment, you will manage complex schedules, coordinate travel, administer departmental budgets, support business planning activities, and drive regional communication. Your work will directly impact the efficiency and success of our store network and corporate leaders.

Responsibilities:

1. High-Impact Administrative Support & Calendar Management

  • Calendar Architecture: Proactively manage complex executive and regional calendars; anticipate and resolve scheduling conflicts before they arise.

  • Central Point of Contact: Serve as the professional gateway for internal and external inquiries, handling all correspondence and escalations with the highest level of professionalism and discretion.

  • Information Security: Create and organize confidential business records, reports, and presentations in alignment with company policies and compliance standards.

2. Logistics, Travel & Event Coordination

  • Event Orchestration: Plan and execute seamless regional meetings, leadership summits, team-building events, and conference calls—including managing agendas, catering, room setup, digital logistics, and follow-up action items.

  • Seamless Travel: Arrange detailed domestic and international travel itineraries, including flights, hotels, and ground transportation, while anticipating and mitigating potential travel-related disruptions.

  • Expense Management: Oversee expense reporting and reconciliation processes, ensuring compliance with corporate policies and strict adherence to deadlines.

3. Business Intelligence & Budget Support

  • Data Compilation: Leverage internal dashboards and Excel to gather data, update critical business reports, and build presentations that support executive decision-making.

  • Financial Administration: Provide administrative support for budget tracking, expense forecasting, and departmental cost monitoring.

  • Action-Item Management: Monitor departmental deadlines and track key deliverables to ensure team goals are met on time.

Qualifications:

Experience & Education

  • 5+ years of progressive experience as an Administrative Assistant, Executive Assistant, or Office Manager, preferably within a fast-paced corporate environment (retail, apparel, or consumer goods is a strong plus).

Technical Skills

  • Advanced MS Office Proficiency: Expert-level capability in Outlook, Excel (data compilation, sorting, basic formulas), Word, PowerPoint, MS Teams, and SharePoint.

  • Tech-Savvy: Comfort learning and navigating proprietary business intelligence dashboards and expense management systems.
