Position: Recruiting Coordinator/Office Manager

Department: Norman A. Wiggins School of Law

Status: Full Time

Position Summary:

The Recruiting Coordinator / Office Manager assists in the day-to-day operation of the Career and Professional Development Center (Career Center), providing excellent customer service, both internally and externally. As the initial contact for students and guests of the Career Center, the Recruiting Coordinator/Office Manager will answer inquiries via phone, email, and in-person. The Recruiting Coordinator creates a positive and professional environment, and builds rapport with students, alumni, employers, faculty and staff. This position requires a flexible schedule as work involves extended hours during peak times of the academic year as well as occasional evenings and weekend events throughout the year. Local travel may be necessary for key events and interview programs.

Essential Duties and Responsibilities:

80% Duties and Responsibilities for the Career Center

Recruiting: • Manage and coordinate on-campus interviews (OCI) /recruitment programs. • Regularly communicate with employers and students to confirm interview schedules, application documents, and all logistics for on-site recruiting. • Develop and maintain systems and processes to identify employment/internship job postings for students and alums and make job postings available via Symplicity. This process includes researching for relevant job postings and receiving job postings from employers to post in Symplicity. • Provide administrative assistance for job fairs and interview programs for students and external program staff. This includes handling law school registrations and fee payments, receiving information from external job fair / interview program staff, and appropriately disseminating information to students. • At the direction of the Director of the Career Center, tasks may include fulfilling any on-site obligations required of the law school, which may involve travel and weekend work at job fair/interview programs.

Event Planning: • Work with Career Center staff in event preparation and execution. This includes preparation of appropriate materials, logistical arrangements for speakers, and catering needs.

Administration: • Assist Career Center staff in administrative tasks including but not limited to budget reconciliation, travel and logistical arrangements, scheduling appointments and calendar updates, fielding calls, managing the center's traffic flow, and purchasing office supplies. • Inform students and alumni on how to use career and job-related information, resources, and software. • Assist in creating, updating, and maintaining resource materials.

20% Duties and Responsibilities for Senior Leadership

Administration: • Assist the Assistant Dean/Externship Director and externship hosts sites with the timely posting of all (fall, spring, summer semesters) externship opportunities and collect applications for externship hosts. • Assist the Director of Development and the Director of Communications and Marketing in check requests, POs, budget reconciliation, other duties as assigned and related to a couple of special events managed by them. • Serve as receptionist for all departments located in Suite 101: The Career Center, Development, Marketing and Communications and Alumni/External Relations.

Other duties as assigned: Throughout the year, there may be new research and innovative projects that involve the Career Center. This position will support all tasks involved.

Education/Experience:

A Bachelor's degree is required. At least 1-year professional experience in a fast pace, client facing environment as a recruiter, HR professional or executive/administrative assistant in a legal, higher education, or business/corporate setting is desired. Experience working at a law school, law firm, or organization that works closely with either/both is desired. Experience with Microsoft Office, social media (LinkedIn, Instagram, Facebook), and knowledge of employment and career services management software, specifically Simplicity, strongly desired. Experience with MailChimp and Canva software to produce robust communication to students, employers, and alumni strongly desired.

• Ability to communicate effectively and collaborate with various constituencies, including students, faculty, law school administration, lawyers, judges, corporate/business professionals, and high-level government officials. • Excellent interpersonal, oral and written communication skills. • Ability to work independently as well as function effectively within a diverse team. • Must maintain the utmost degree of confidentiality and professionalism with discernment. • Ability to pay close attention to details and produce highly accurate work. • Ability to maintain a positive solution-oriented approach to work and maintain a professional demeanor under pressure in high volume periods of the academic year, while managing change and handling multiple projects at one time. • Exemplary project management and organizational skills necessary to handle multiple projects, prioritize work, meet deadlines and anticipate needs of office objectives. • This position requires accuracy, integrity, honesty and the ability to work within the Christian mission of Campbell University.
