Project Coordinator NYPA Renewables
Pay Rate: $37.00/hr W2
Experience Level: Level 1 (1 5 Years)
Work Location: White Plains Office
Anticipated Start Date: Immediate
Duration: 12 Months
Work Schedule: Monday Friday, 7.5-hour workday with 0.5-hour unpaid lunch
Work Arrangement
- Hybrid schedule with a minimum of 3 days onsite; may be fully onsite depending on department/business requirements.
- Paid for actual hours worked; no paid vacation or sick days.
- Remote work privileges may be revoked at any time based on business needs or work performance.
CWPO Engagement Requirements- Candidates must be local to the Tri-State area.
- Candidates must be able to work in W2 tax status as an hourly employee of the Service Provider.
- Fully remote work is prohibited.
- Client does not provide laptops. Desktops and dedicated workstations are provided, and candidates will remotely access them from their personal equipment on work-from-home days.
- Candidates must have appropriate personal equipment and a reliable internet connection to work effectively from home.
Project Overview The Project Coordinator will support
NYPA Renewables with day-to-day activities, project coordination, documentation, scheduling, procurement, and cross-functional coordination.
The role will serve as a liaison between the NYPA Renewables team and key internal and external stakeholders, including
Finance, Procurement, Legal, Community Affairs, Engineering, and other supporting departments.
The Project Coordinator will track activities, facilitate communication, generate reports, and help keep projects and daily departmental activities moving forward. This position also provides an opportunity for professional growth and learning within the organization.
Job Functions & Responsibilities- Assist with project planning, coordination, documentation, and communication, including scheduling, tracking, and reporting.
- Coordinate project and cross-functional meetings, including scheduling, agenda preparation, meeting notes, action-item distribution, and follow-up tracking.
- Coordinate Scope of Work (SOW) and RFP processes for procurement of goods and services in accordance with applicable policies.
- Track required inputs, responsible parties, key dates, and follow-up actions throughout the procurement process.
- Create and verify purchase requisitions in SAP and communicate with Operations, Procurement, Legal, and other stakeholders.
- Facilitate communication between cross-functional teams, stakeholders, and vendors.
- Maintain weekly status reports and project trackers, including responsible parties, required-by dates, and outstanding actions.
- Create dashboards and leverage tools to automate reporting where applicable.
- Develop and maintain project schedules using Excel/MS Project and track progress against key dates.
- Maintain and update project and business development information in CRM and other applicable tracking systems.
- Support document organization and management across SharePoint, Kiteworks, and other applicable platforms.
Skills & Qualifications- General understanding of renewable energy project development and construction lifecycle preferred, or willingness to learn.
- Experience with project management and task-tracking tools such as Smartsheet, Monday.com, or similar.
- Familiarity with procurement processes, contract structures, and SOW/RFP documentation.
- Experience coordinating with external developers, EPC contractors, consultants, and vendors preferred.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams.
- Ability to quickly learn MS 365 tools, including SharePoint Lists and Power Automate, to develop project reports and dashboards.
- Proficiency in or ability to quickly learn MS Project, SAP ERP, CRM, and other business systems.
- Strong organizational, meeting coordination, risk identification, and follow-up skills.
- Strong attention to detail with the ability to maintain accurate project records, trackers, schedules, status reports, and document repositories.
- Experience with document control, version tracking, and maintaining organized project files.
- Ability to prioritize tasks, manage multiple deadlines, and maintain well-organized documentation.
- Strong verbal, written communication, and presentation skills.
- Ability to effectively interact with team members, stakeholders, and vendors.
- Adaptable and flexible when project requirements and priorities change.
Education & Certifications- Bachelor's degree required.
