Description

Keystone Human Services is seeking a full-time Program Assistant to join our Global Programs & Advocacy team. This role provides high-level coordination and administrative support that helps advance inclusive, sustainable, rights-based solutions for people with disabilities.

The Program Assistant organizes priorities, meetings, travel, communications, records, data, grants, advocacy activities, events, board support, stakeholder engagement, and financial processes. Working across global teams, internal departments, and external partners, this position requires strong organization, attention to detail, sound judgment, discretion, initiative, flexibility, and collaboration.

Responsibilities Include:

  • Promote Keystone’s mission, values, and culture through all aspects of the role
  • Provide administrative and coordination support to Global Programs & Advocacy leadership and teams by managing calendars, meetings, priorities, timelines, deliverables, communications, and follow-up actions
  • Coordinate communication and stakeholder engagement among global teams, internal departments, external partners, government officials, grantees, advocates, and nonprofit coalitions
  • Maintain organized workflows, shared resources, tracking systems, records, templates, project documents, grant data, applications, deadlines, and reports
  • Draft, edit, proofread, and organize accessible communications, advocacy materials, presentations, reports, briefings, correspondence, and social media content
  • Coordinate meetings, conferences, advocacy activities, and domestic and international travel, including schedules across time zones, reservations, visas, itineraries, accessibility needs, expenses, and materials
  • Support board, financial, and administrative processes by preparing materials, documenting meetings, maintaining records, and processing invoices, contracts, purchase requests, and expenses in accordance with applicable policies and procedures
  • Collect, organize, and report program, grant, advocacy, evaluation, and learning data to support planning and continuous improvement
  • Maintain confidentiality and use sound judgment when handling sensitive organizational, personnel, program, financial, governance, and partner information
  • Maintain appropriate and professional boundaries
  • Participate in projects and initiatives with cross-functional collaboration as requested
  • Perform other duties as assigned

Compensation & Benefits:

  • Full-time, exempt position
  • Starting annual salary: $51,000, may increase based on education and experience
  • Actual compensation will be determined based on localized market data, skills, experience, and education
  • Hybrid work schedule with a minimum of two days per week in the Harrisburg office

Education & Experience Qualifications:

  • High school diploma or equivalent; Bachelor’s degree in a related field is preferred
  • Two years of administrative, project, program, operations, grants, advocacy, or coordination experience in a complex organizational environment
  • Experience with cross-functional projects, process improvements, events, financial or contract administration, grant-funded work, international protocols, nonprofit administration, disability rights, advocacy, international development, or human services is preferred

Additional Qualifications:

  • Strong organizational, time-management, problem-solving, and judgment skills, with the ability to work independently and collaboratively in a fast-paced, mission-driven environment
  • Excellent written and verbal communication skills, including the ability to draft, edit, proofread, and communicate professionally with stakeholders at all levels and with international partners
  • Proficiency with Microsoft Office, Teams, Outlook, SharePoint, Excel, and other collaboration or project tools, with the ability to learn new systems quickly
  • Ability to handle confidential information with discretion
  • Ability to coordinate occasional domestic and international travel and work effectively across time zones
  • Ability to successfully complete the pre-employment process, including required background checks, clearances, and verifications
