    Overview

    We are seeking a detail-oriented PMO Analyst to provide project coordination, documentation, and execution support for a large-scale training and technical assistance program. This role will support project leadership by coordinating meetings, maintaining project documentation, tracking action items, preparing reports, and ensuring project information remains accurate and organized. The ideal candidate is highly organized, dependable, and comfortable working in a fast-paced, multi-stakeholder environment.

    Duties

    • Coordinate project meetings, including scheduling, invitations, updates, and cancellations using Microsoft Outlook.

    • Prepare and distribute meeting agendas and other project communications.

    • Capture and distribute clear, concise meeting minutes documenting decisions, action items, and follow-up responsibilities.

    • Track action items and follow up with stakeholders through completion.

    • Maintain organized, accurate, and up-to-date project documentation and artifacts.

    • Support project reporting, status tracking, and other project management activities.

    • Ensure project documentation follows established standards, templates, and processes.

    • Help maintain project momentum by identifying outstanding tasks and supporting timely follow-through.

    • Collaborate with project team members and stakeholders to support day-to-day project execution.

    Required Skills

    • Bachelor's degree in Business Administration, Project Management, or a related field, or equivalent professional experience.

    • 3+ years of experience in project support, PMO, project management, or administrative support.

    • Strong attention to detail and a demonstrated ability to maintain accuracy across multiple tasks.

    • Excellent organizational, written, and verbal communication skills.

    • Ability to manage multiple priorities, deadlines, and administrative responsibilities.

    • Strong follow-through and responsiveness to project team needs.

    • Ability to consistently follow established procedures, guidelines, and documentation standards.

    • Familiarity with basic project management concepts, including risk, issue, and dependency tracking.

    • Experience working with multiple stakeholders in a fast-paced environment.

    • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, Project, SharePoint, and Teams.

    Preferred Skills

    • Experience supporting a PMO or large, complex project.

    • Experience maintaining project plans, action item logs, status reports, or other project trackers.

    • Experience with project documentation standards, templates, and document management practices.

    • Experience supporting projects involving training, technical assistance, or organizational change.

    • Familiarity with project management methodologies and standard project lifecycle practices.
