    UVAFinance has an exciting opportunity for an Operations Coordinator reporting to the Director of Organizational Initiatives. To succeed in this role, you need to be detail oriented, resourceful, highly organized, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.

    The Operations Coordinator serves as a key resource supporting operations, employee lifecycle activities, organizational human resources communications, workforce planning and engagement initiatives across UVAFinance. This position works closely with UVAFinance leadership, employees, Human Resources, and other University partners to support the effective administration of personnel processes and organizational operations.

    Specific job duties include the following:

    • Coordinates recruitment and hiring activities, including scheduling interviews, coordinating candidate visits, preparing onboarding materials, and supporting hiring managers throughout the recruitment process
    • Serves as a primary coordinator for onboarding and offboarding activities, ensuring employees have appropriate resources, system access, workspace arrangements, and required documentation
    • Maintains staffing records, employee directories, organizational charts, distribution lists, and other workforce-related information
    • Assists with personnel actions, including hires, transfers, promotions, position changes, and employee separations while coordinating with Human Resources and other central administrative offices
    • Serves as a liaison between UVAFinance and Human Resources to coordinate routine personnel matters, policy implementation, and employee support needs
    • Assists with administration and tracking of required compliance activities, certifications, and mandatory employee training requirements
    • Maintains confidential personnel information and ensures appropriate handling of sensitive employee records and documentation
    • Develops, maintains, and distributes workforce-related reports and metrics, including staffing, vacancies, recruitment activity, onboarding progress, and other organizational measures
    • Provides administrative support to the Director of Organizational Initiatives including preparing materials, documenting action items, and coordinating follow-up activities
    • Supports special projects and initiatives related to organizational effectiveness, employee experience, communications, and workforce administration
    • Conducts research, benchmarking, and information gathering on workforce, engagement, and organizational topics as requested
    • Performs other duties as assigned

    IMPORTANT JOB REQUIREMENTS

    • Bachelor's degree or the equivalent combination of education, experience, training, certification, or licensure.
    • Four years of progressively responsible professional experience supporting executive leadership, human resources, organizational operations, project coordination, or business administration. Superior organizational, prioritization and time management skills, including keen attention to detail and general business acumen.
    • Demonstrated experience coordinating multiple priorities and managing complex administrative or operational activities in a fast-paced environment.
    • Excellent written and verbal communication skills with the ability to prepare professional correspondence, reports, presentations, and meeting materials.
    • Demonstrated ability to maintain strict confidentiality and use sound judgment and discretion in handling confidential and sensitive information.
    • Demonstrated analytical skills with experience developing reports, maintaining data, and identifying trends to support operational decision-making.
    • Proficient in the use of technology to include Microsoft Suite applications Word, Excel and PowerPoint.

    MINIMUM REQUIREMENTS:

    Education: Bachelor''s Degree or combination of education and related experience in lieu of a degree required.

    Experience: 4+ years of relevant experience required.

    PHYSICAL DEMANDS:

    This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
