JOB SUMMARY: The Operations Coordinator will work in cooperation, and directly in conjunction with the Shelter Director; to coordinate and ensure the overall operational, safety, and maintenance of the shelter facility. Â
Operations Coordinator is responsible for, but not limited to: Â
Responsible for all Facility and other assigned programs and/or areasÂ
Provides the operational supervision of facility staff, other assigned programs staff, and oversees external vendors Â
Responsible for securing coverage for all shifts when needed. Â
Collaborate with Shelter Director to ensure goals are met according to contractual obligations Â
Work with senior management for initial/renewal programmatic reports and/or proposals  Â
Coordinates inventory procurement, control and expenditures proceduresÂ
Coordinate and ensure the implementation of all Occupational Safety and Health Administration Â
(OSHA), DHS, OTDA regulations and guidelines, including Universal Precautions Policies and Procedures Â
Identify and ensure adequate and appropriate resources are assigned to program/projects to ensure the program/project design is controlled, and goals are achieved Â
Provide On-Call coverage-24/7 for emergency and crisis intervention regarding all aspects of operations-related systemsÂ
Developing operations goals and objectives, and policies and procedures, and implementing changes to existing standards, policies, and procedures Â
Designing and delegating preventative/scheduled operations activitiesÂ
Managing the collection, presentation, and reporting of operations dataÂ
Maintaining, revising, and updating operations logs, records, and formsÂ
Manage facilities inventory and material and supply needs, and oversee the purchasing processÂ
Overseeing the internal and external operations-related systems, tests, and inspections Â
Performing monthly walk-throughs to inspect operations at all facilities, including all major building systemsÂ
Maintain all records regarding compliance with City and State regulations, including NYS section 491 regulationsÂ
Ensuring regulatory compliance and that all required licenses and certificates from the Fire  Department, Buildings Department, Department of Health, and all other pertinent city and state agencies are current and validÂ
Coordinating and certifying the implementation of all city, state, and federal building codes and industry standards, including Occupational Safety and Health Administration (OSHA) and   Universal Precautions Policies and ProceduresÂ
Recruiting, supervising, monitoring, and evaluating staffs; ensure they have successfully perform routine daily, weekly, and periodic tasks Â
Establishing and implementing schedules and work assignmentsÂ
Maintaining awareness of new trends and developments in the fields of safety, residential management, maintenance, food service, and housekeeping, and incorporating new developments into the facilities as appropriateÂ
Conducting, attending, and participating in facility and professional group meetings in order to maintain and improve professional competenceÂ
Maintaining ongoing communication with social services concerning operational issues Â
Attend professional meetings, educational conferences, and in-service trainings in order to maintain and improve professional competenceÂ
Managing the collection, presentation, and reporting of data regarding all activities related to safety and/or infractions. Â
Attend professional meetings, educational conferences, and in-service trainings in order to maintain and improve professional competence Â
Provide coverage for other areas as directed/needed Â

Qualifications:Â
3-7 years facilities management experience, preferably in a residential facility Â
Fire Safety Certification is a Plus.Â
Occupational Safety and Health Administration (OSHA) Certification preferred Â
Valid Driver License, if authorized to drive agency vehicle Â
Knowledge of operating related equipment, tools, and materials used in the facilityÂ
Knowledge of city, state, and federal building codes and industry standards Â
Proficiency in software applications, including word processing, spreadsheets, and databases Â

Proven ability to work collaboratively well with diverse groups Â
Proven ability to handle multiple tasks effectively under pressure Â
