JM Test Systems is seeking a highly organized and proactive Onsite Project Coordinator to manage the full lifecycle of onsite calibration and technical service projects. From planning and scheduling to execution and closeout, this role is critical in ensuring projects are delivered safely, on time, and with the highest level of quality. You will serve as the key connection point between internal teams, technicians, and customers—driving coordination, communication, and accountability across every stage of the job.
What You’ll Do
Project Coordination & Execution
Manage onsite service projects from initial planning through execution, QA, and final billing
Serve as the primary liaison between technicians, internal teams, service representatives, and customers
Confirm scope, requirements, and technician readiness prior to dispatch
Track milestones and proactively identify and resolve risks to timelines or deliverables
Scheduling & Logistics
Coordinate technician schedules based on skillset, certifications, and job requirements
Ensure readiness of equipment, PPE, and job kits
Communicate schedules, expectations, and updates to all stakeholders
Customer & Recurring Project Management
Support recurring project timelines (60/30/14-day planning milestones)
Coordinate project approvals, site readiness, and kickoff meetings
Maintain strong communication with customers to ensure alignment and satisfaction
Post-Project Closeout
Oversee job closeout including QA review, documentation, and billing coordination
Ensure timely submission of certifications, reports, and invoices
Track returned equipment, coordinate lab evaluations, and manage follow-up quotes
Compliance & Quality
Ensure all work aligns with company safety standards and regulatory requirements (ISO 17025, ANSI Z540)
Maintain accurate documentation and support quality assurance processes
Monitor technician compliance for site access and safety requirements
What We’re Looking For
2+ years of experience in project coordination, dispatch, or operations (technical/industrial environment preferred)
Strong organizational and time management skills with the ability to manage multiple projects simultaneously
Excellent communication skills and ability to collaborate across teams
High attention to detail with a focus on accuracy and follow-through
Proficiency in Microsoft Office; experience with ERP or job tracking systems is a plus
Preferred Qualifications
Experience in calibration, metrology, or technical service environments
Familiarity with quoting, purchase orders, and B2B service workflows
Knowledge of ISO 17025, ANSI/NCSL Z540, or similar quality standards
Experience in field service coordination or multi-site project support
