Seeking a Senior On-Site Services Specialist to support daily operations in a professional legal office environment. This role provides copy and print services, mail processing, digital imaging, hospitality support, shipping and receiving, records management, and general office support while delivering excellent customer service and handling confidential legal documents with discretion.
Process, sort, distribute, and prepare incoming and outgoing mail, packages, faxes, and shipments.
Perform high-volume copying, scanning, printing, binding, finishing, file conversion, OCR, file naming, FTP transfers, and document formatting.
Handle confidential and time-sensitive legal documents with a high level of accuracy and quality.
Maintain and troubleshoot copiers, clear paper jams, monitor equipment performance, and report service issues.
Maintain copier areas, replenish office supplies, and keep work areas organized.
Perform filing, archiving, records management, and document retrieval.
Calculate job charges, maintain billing, inventory, meter, and service logs.
Deliver completed work throughout the office and coordinate off-site projects when needed.
Set up conference and meeting rooms and stock kitchen and hospitality areas.
Support shipping, receiving, light maintenance, office moves, housekeeping, and other building support duties as assigned.
Respond to client requests and provide professional support in person, by phone, and by email.
Work with legal secretaries, paralegals, associates, partners, project managers, and executive-level staff.
Meet deadlines while managing multiple priorities with minimal supervision.
Work overtime, evenings, weekends, or emergency response hours as needed.
High school diploma or GED required.
1 2 years of related office experience required.
Minimum of 2 years of legal industry experience highly preferred.
Experience in copy/print services, mailroom operations, hospitality, or corporate office support preferred.
Strong customer service, verbal, written, and interpersonal communication skills.
Ability to work independently, prioritize tasks, and maintain strict confidentiality.
Working knowledge of copiers, scanners, postage equipment, shipping/receiving procedures, and Microsoft Office.
Basic troubleshooting and office equipment maintenance experience preferred.
Ability to read and follow technical instructions and solve routine equipment issues.
Ability to lift up to 20 lbs. unassisted and walk between multiple office floors throughout the day.
Business casual attire (clean, solid dark tennis shoes permitted for comfort).
COVID vaccination required.
