Qualifications

  • 5+ years of progressive experience in office management, finance, or accounting, preferably in a small business or service/distribution environment.
  • Strong knowledge of AR, AP, payroll, month-end close, and ERP systems.
  • Proven leadership skills with experience managing small teams and shared resources.
  • Excellent organizational, communication, analytical, and problem-solving skills.
  • High integrity, attention to detail, and commitment to confidentiality and compliance.
RESPONSIBILITIES

Key Responsibilities
Customer Service Leadership

  • Oversee phone handling, sales order entry, service ticket submission, and customer inquiries.
  • Ensure high levels of customer satisfaction and timely resolution of issues.

Accounts Receivable

  • Manage cash receipts (ACH, check, credit card), customer inquiries, and collections on past-due invoices.
  • Monitor AR aging reports and implement strategies to improve collections and cash flow.

Accounts Payable

  • Process vendor invoices, reconcile and manage company credit cards, prepare AP checks, and execute ACH payments.
  • Maintain vendor relationships, negotiate terms, and ensure timely, accurate payments.

Financial Operations

  • Lead month-end close processes, including sales tax payments, reconciliations, and oversight of closing activities.
  • Process and key payroll journal entries; ensure compliance with payroll regulations.
  • Manage bank account transfers and cash flow to optimize liquidity.

Team Leadership

  • Lead, guide, and direct small team of direct reports.
  • Train, develop, evaluate team performance, and distribute workload effectively.
  • Manage company HR department with employee onboarding/offboarding, personnel file maintenance, compliance support, and performance feedback

Leadership & Strategic Support

  • Participate as a member of the company leadership team in planning, reviews, and initiatives for profitability and growth.
  • Implement and maintain internal controls, process improvements, and best practices for financial accuracy and efficiency.
