Office Manager

Location: Carlsbad, CA

Schedule: Full-Time, Onsite

Pay: $26.00 - $34.00 per hour

Position Overview

Ultimate Staffing is seeking an organized and proactive Office Manager to oversee daily office operations and support a professional, efficient workplace environment. This position will play a key role in managing administrative functions, coordinating office activities, and assisting with HR-related responsibilities. The ideal candidate is detail-oriented, resourceful, and capable of balancing multiple priorities in a fast-paced setting.

Responsibilities

  • Manage day-to-day office operations and administrative functions
  • Serve as the main point of contact for office vendors, facilities, and general office needs
  • Coordinate office supplies, equipment, and maintenance services
  • Support employee onboarding, new hire paperwork, and orientation processes
  • Maintain employee files and assist with HR administration
  • Coordinate interview scheduling and recruiting activities as needed
  • Assist with benefits administration and employee communications
  • Plan and coordinate company meetings, events, and office initiatives
  • Prepare reports, track expenses, and support leadership with special projects
  • Ensure office policies and procedures are followed and updated as necessary

Qualifications

  • 3+ years of office management, administrative, or operations experience
  • Experience supporting HR functions such as onboarding, employee records, recruiting coordination, or benefits administration
  • Strong organizational, multitasking, and time management skills
  • Excellent verbal and written communication abilities
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to handle confidential information with professionalism and discretion
  • Strong attention to detail and problem-solving skills
  • High school diploma required; college coursework or degree preferred
