Job Summary:

Provides comprehensive administrative, scheduling, and registration support for organizational programs, meetings, conferences, and operational activities. This role ensures seamless coordination of events, accurate participant management, and efficient administrative operations in fast‑paced, multi‑stakeholder environments. The Specialist interacts with internal staff, external partners, and senior leadership while maintaining professionalism, accuracy, and confidentiality.

Responsibilities:

  • Coordinate and manage meeting logistics, including scheduling, room reservations, virtual meeting setup, and distribution of agendas and materials.

  • Prepare meeting spaces (secure and non-secure) by ensuring technology, supplies, and seating arrangements meet requirements.

  • Track attendance, compile meeting minutes, and document action items for follow‑up.

  • Process registrations, cancellations, substitutions, and special accommodations in accordance with organizational policies.

  • Prepare correspondence, briefing materials, and official documents with proper formatting and quality control.

  • Assist with travel coordination, voucher preparation, and logistics for staff and leadership

Education/Certifications:

  • 2 years of administrative experience, preferably in providing logistical support

  • High School Diploma or equivalent is required

  • Perform administrative duties such as preparing quality documents, reports and slides and coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance and minutes

  • Must have Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents and briefings

  • Must have experience in document routing, coordination, tracking and retaining/filing

  • Manage time and events effectively
