Schedule: Monday - Friday, 8:00 AM - 4:00 PM
Pay Rate: $24.00 - $30.00 per hour
Position Summary
We are seeking a detail-oriented and organized Legal Secretary to provide administrative and clerical support related to Freedom of Information Law (FOIL) requests and records access activities. The Legal Secretary will assist the Records Access Officer with processing FOIL requests, reviewing responsive records, maintaining accurate records and databases, and communicating professionally with members of the public.
The ideal candidate will have knowledge of legal terminology, business communications, records management, and general clerical procedures, along with strong attention to detail and the ability to manage multiple deadlines.
Key Responsibilities
- Assist the Records Access Officer with responding to Freedom of Information Law (FOIL) requests.
- Collect, organize, and review documents that are responsive to FOIL requests.
- Assist with identifying information requiring redaction and preparing records for release.
- Answer and manage the main FOIL telephone line, providing professional and courteous assistance to members of the public.
- Monitor and maintain the FOIL mailbox, including both physical mail and email correspondence.
- Respond to public inquiries regarding FOIL requests, procedures, and status updates.
- Track FOIL requests, deadlines, correspondence, and required follow-up activities.
- Maintain accurate FOIL databases, spreadsheets, logs, and other records.
- Prepare correspondence, reports, notices, and other administrative documents as needed.
- Perform data entry and general clerical duties related to records access and legal administration.
- Maintain organized electronic and paper files in accordance with established procedures.
- Communicate with internal departments to obtain records and information needed to respond to FOIL requests.
- Ensure requests and related documentation are processed accurately and within established deadlines.
- Perform other administrative and legal-support duties as assigned.
Required Qualifications
- Previous experience in a legal, government, administrative, records management, or office environment preferred.
- Knowledge of common legal terminology and legal administrative procedures.
- Strong written and verbal communication skills.
- Excellent business communication and customer service skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple assignments and deadlines simultaneously.
- Proficiency with standard office equipment and computer applications, including Microsoft Word and Excel.
- Ability to maintain confidentiality when handling sensitive or confidential records.
- Strong proofreading, filing, data-entry, and general clerical skills.
- Ability to communicate professionally with the public, attorneys, government personnel, and internal staff.
Preferred Qualifications
- Experience working with FOIL requests, public records, records access, or New York State government procedures.
- Prior experience assisting with document review or redaction.
- Familiarity with government records-management practices.
- Experience maintaining tracking databases or spreadsheets.
- Prior experience in a law office, government agency, court, or other legal environment.
