LITIGATION LEGAL ASSISTANT/PARALEGAL

Location: Houston, TX
Schedule: Monday – Friday, 8:00 AM – 5:00 PM, (8:30 AM -5:30 AM possibility)
Work Model: 100% In Office (No Hybrid)
Pay $55,000 - $65,000 per year

This role is intended for a career legal assistant or paralegal. The firm is not considering candidates who plan to attend law school or become practicing attorneys.

OVERVIEW
Mid-size Texas law firm has an exciting full-time employment opportunity for an experienced Legal Assistant/Paralegal in its Houston office. 

The ideal candidate will possess a minimum of five (5) years of experience supporting attorneys in a litigation-focused law practice. Experience in construction litigation, commercial litigation, insurance defense litigation, labor and employment law, or business transactions is strongly PREFERRED.


This position will provide direct support to 3 Partners in our Houston office. The successful candidate must be highly organized, detail-oriented, capable of managing a substantial workload independently, and comfortable handling both substantive legal work and administrative responsibilities in a fast-paced environment.

ESSENTIAL DUTIES & RESPONSIBILITIES

Litigation and Legal Document Preparation

1. Draft, revise, proofread, and format pleadings, motions, discovery requests and responses, correspondence, affidavits, notices, mediation materials, and other legal documents.
2. Assist attorneys with preparation of filings in state and federal courts, arbitrations, and administrative proceedings.
3. Prepare hearing notebooks, trial notebooks, exhibit binders, witness files, and other litigation support materials.
4. Review, revise, and format contracts, agreements, and transactional documents at the direction of attorneys.
5. Coordinate and manage document production, discovery responses, and document organization for litigation matters.
6. Conduct electronic filing of pleadings and legal documents in Texas state courts, federal courts, and arbitration forums.
7. Monitor case deadlines and ensure timely filings and compliance with court orders and scheduling deadlines.

Document Management and File Organization

1. Organize, maintain, and manage electronic and physical client files.
2. Ensure proper document storage, indexing, retrieval, and version control.
3. Maintain accurate case management records within the firm’s practice management systems.

Practice and Case Management Support

1. Assist attorneys with case management from file opening through resolution.
2. Submit conflicts requests and assist with opening new client and matter files.
3. Maintain attorney calendars, including deadlines, hearings, depositions, mediations, arbitrations, meetings, and client appointments.
4. Assist attorneys in preparing for hearings, depositions, mediations, arbitrations, trials, and client meetings.
5. Coordinate with clients, opposing counsel, court personnel, experts, vendors, and third parties as needed.

Administrative and Operational Support

1. Coordinate travel arrangements, meetings, and scheduling.
2. Prepare and submit expense reimbursements.
3. Assist with billing-related matters, time entry review, and administrative reporting as requested.
4. Answer and direct incoming calls and assist with general office administration.
5. Provide overflow support and perform additional duties as assigned.

Collaboration and Communication

1. Maintain professional and effective communication with attorneys, clients, court personnel, and firm staff.
2. Exercise sound judgment, professionalism, and discretion when handling confidential information.
3. Work collaboratively across practice groups while effectively managing competing priorities and deadlines.

QUALIFICATIONS

1. High school diploma or GED required; associate’s degree, bachelor’s degree, or paralegal certificate preferred.
2. Experience supporting litigation matters from inception through trial preferred.
3. Experience with construction litigation, commercial litigation, insurance defense, labor and employment, or business transactions is a plus.
4. Proficiency with Microsoft Office Suite, Adobe Acrobat Pro, Outlook, and legal case management software.
5. Experience with Centerbase or similar legal practice management systems preferred.
6. Extensive experience with electronic filing in Texas state courts and federal courts.
7. Strong knowledge of legal terminology, legal documents, court procedures, and litigation processes.
8. Demonstrated experience drafting and revising pleadings, motions, discovery documents, correspondence, and contracts.
9. Exceptional organizational skills and attention to detail.
10. Strong proofreading, editing, and document formatting abilities.
11. Excellent written and verbal communication skills.
12. Ability to manage multiple attorneys, deadlines, and priorities simultaneously.
13. Ability to work independently while exercising sound judgment and initiative.
14. Ability to maintain confidentiality and professionalism at all times.
