    Role Overview
    The Legal Assistant serves as the administrative backbone of a legal team, providing essential support to ensure matters proceed efficiently and deadlines are met across federal, state, and arbitration forums.

    Document & Case Management
    • Independently familiarize with assigned matters
    • Provide administrative support to attorneys and paralegals
    • Organize, scan, and maintain legal documents
    • Track and save federal court (ECF) filings
    • Calendar all deadlines associated with filings
    • Review Federal Rules, Local Rules, and judge?specific practices for accurate calendaring
    • Track and save state court filings
    • Calendar deadlines based on court rules and judge practices
    • Track and save arbitration filings and calendar all related deadlines
    • Monitor and organize arbitration inboxes and route emails to appropriate case files
    • Maintain case records in a case management system, including:
    • Case details
    • Deadlines
    • Parties
    • Court and judge assignments
    • Handle a high volume of case?related phone calls, including routine client communications and status updates

    New Matters & Complaints
    • Assist with filing new complaints
    • Coordinate with process servers and schedule service
    • Follow up to confirm completion of service

    Pro Hac Vice & Notices of Appearance
    • Prepare Pro Hac Vice applications and Notices of Appearance
    • Obtain Certificates of Good Standing when required
    • File pleadings or coordinate filing through local counsel

    Notice of Filing Consents
    • Prepare and file Notices of Consent with the court

    Discovery Support
    • Assist with collecting, reviewing, and organizing discovery materials
    • Prepare documents for production, including Bates labeling and redactions
    • Collect factual information from clients for declarations
    • Index opposing party discovery productions
    • Calendar discovery review deadlines and deficiency notices

    Deposition Support
    • Coordinate client availability
    • Schedule and calendar depositions
    • Arrange court reporters and videographers as needed
    • Save deposition transcripts

    Data Entry & File Conversion
    • Convert data from PDF documents into Excel spreadsheets
    • Accurately extract and organize structured data from source documents

    Notice & Mailing Support
    • Assist with notice mailouts, including printing, assembling, labeling, and organizing materials
    • Support large?scale mailings, including settlement checks

    Mediation Support
    • Save and calendar mediation dates
    • Calendar deadlines listed in mediator packets
    • Ensure mediation payments are processed through the case management system
    • Confirm discovery is complete and indexed prior to mediation

    Trial Support
    • Assist with ensuring clients are informed of trial obligations
    • Support attorneys and paralegals with trial binders and exhibits
