The opportunity

Delaware North is hiring a full-time Information Technology Administrative Assistant to join our team at our global headquarters in Buffalo, New York. As an IT Administrative Assistant, you will be responsible for providing administrative support at a high degree of diversity and complexity, for a senior leader and managers. What will you do?

  • Manage executive calendars, coordinate meetings, arrange travel, and oversee appointments to support efficient scheduling and operations
  • Serve as the primary point of contact for internal and external stakeholders by managing communications, screening inquiries, and directing requests appropriately
  • Prepare and compile agendas, presentations, meeting materials, and supporting documentation for executive and management meetings
  • Process expense reports, invoices, and departmental administrative requests while maintaining accuracy and timeliness
  • Perform clerical and office support duties, including responding to inquiries, maintaining records, and ordering department supplies
  • Build and maintain effective working relationships with executives, business partners, and external stakeholders while handling sensitive information with discretion
  • Coordinate and execute special projects by managing timelines, requirements, and deliverables to ensure successful completion

More about you

  • Associate degree preferred.
  • 3 or more years of experience supporting senior IT leaders or executive teams in an administrative capacity.
  • Expertise managing complex calendars, coordinating travel, processing expenses and handling multiple priorities with ease.
  • Strong proficiency with Microsoft 365 including PowerPoint, Excel, Word, and enterprise-wide technology systems.
  • High level of interpersonal skills to handle sensitive information and confidential situations.
  • Exceptional communication skills with the ability to interact confidently and professionally with executives, buisness partners, and stakeholders at all levels.
  • Strong organizational skills, attention to detail, and the abilty to anticipate needs before they arise.
  • The agility to manage competing priorities, coordinate departmental activities, and keep critical initiatives moving forward.
