JOB TITLE: Operations Specialist (Technology and Communications)
Reports to: Director of Business Operations
Position Summary: The Operations Specialist (Technology and Communications) serves as Highville Charter Schools primary coordinator for technology operations, digital communications, and instructional technology support. This position is responsible for ensuring the reliable operation, maintenance, and continuous improvement of the schools technology infrastructure, communication systems, and digital resources while providing exceptional customer service to staff, students, and families. The Operations Specialist is expected to take ownership of technology and communication initiatives from initial identification through successful resolution, ensuring minimal disruption to teaching, learning, and daily school operations.
Key Responsibilities
Technology Operations
- Serve as the primary liaison between Highville Charter School and the managed IT service provider.
- Coordinate technology deployments, upgrades, repairs, and equipment replacements.
- Perform first-level troubleshooting before escalating issues.
- Maintain technology asset inventory, warranties, lifecycle plans, and replacement schedules.
- Assist with technology purchasing, vendor quotes, purchase requests, and budget tracking.
Systems & Infrastructure
- Coordinate operation of phone systems, security cameras, printers/copiers, wireless access, classroom technology, conference room technology, and digital displays.
- Support Microsoft 365 Administration including user accounts, licensing, Teams, shared mailboxes, and distribution lists.
- Support Google Workspace administration and Chromebook management.
- Monitor system performance and coordinate vendor repairs.
- Promote cybersecurity best practices, including MFA, password security, phishing awareness, and access management.
- Support compliance with FERPA and applicable student data privacy requirements.
Digital Communication
- Coordinate robo-calls, mass texts, newsletters, website updates (as assigned), digital signage, ClassDojo administration, school calendar updates, and family communications.
- Ensure all communications are timely, accurate, and aligned with Highville branding.
Support & Training
- Respond promptly to technology requests while communicating status through resolution.
- Provide onboarding for new employees.
- Develop technology procedures, user guides, and documentation.
- Train staff on approved educational technology, Microsoft 365, Google Workspace, and emerging AI tools aligned with school policy.
Operations Excellence
- Coordinate technology support for state testing, enrollment, food service, attendance, and other mission-critical school systems.
- Support annual school readiness activities and technology setup for school events.
- Assist with front office operations as needed.
- Perform other duties assigned by the Director of Business Operations.

Minimum Qualifications
- Associates degree in Information Technology, Computer Science, Business, Communications, or related field or equivalent professional experience.
- Minimum two years of experience supporting technology, operations, or educational technology.
- Experience with Microsoft 365 and Google Workspace.
- Experience managing multiple technology projects preferred.
- School district or charter school experience preferred.
Physical Requirements
- Lift and move technology equipment up to 50 pounds.
- Install and relocate equipment throughout the building.
- Work on ladders and beneath desks when needed.
