    Position Summary

    The HR Specialist supports Traylor Construction Group's HR shared services team through compensation analysis, benefits program administration, and immigration case coordination. This position maintains accurate records, manages recurring events and deadlines, and provides responsive support to employees, HR partners, and business leaders. The role requires sound judgment, attention to detail, and the utmost confidentiality when handling sensitive employee and company information.

    Key Responsibilities

    Compensation

    • Conduct market analyses of job titles twice annually, validating job matches and preparing findings to support compensation review and decisions.
    • Coordinate participation in salary surveys, including gathering, validating, and submitting compensation data and maintaining survey results.
    • Assist with annual merit and incentive planning by preparing worksheets, validating employee data and calculations, tracking approvals, and supporting implementation of approved changes.
    • Conduct cost-of-living, area living allowance, per diem, and related research for new projects and employee assignments; prepare recommendations for review by HR leadership and appropriate business partners.
    • Maintain current, validated job, salary range, compensation, and allowance data in HR systems and supporting records; reconcile discrepancies and document approved changes.
    • Prepare compensation, merit, incentive, and allowance letters using approved information and templates, and coordinate their review and distribution.

    Benefits Administration

    • Coordinate annual open enrollment activities, including schedules, employee communications, enrollment materials, vendor coordination, and follow-up on incomplete or inaccurate elections.
    • Organize biometric screenings, flu shot clinics, wellness initiatives, and other benefits events across participating locations.
    • Serve as an administrative resource for employee benefits questions, coordinating with HR partners, brokers, and vendors to resolve issues and escalate matters requiring interpretation or approval.
    • Review and reconcile benefits invoices, research discrepancies, obtain required approvals, and coordinate timely processing with Accounting and Payroll.
    • Maintain accurate benefits records, event calendars, and participation information, and support benefits reporting and employee communications.

    Immigration Administration

    • Coordinate day-to-day immigration administration for the company's foreign national employees, serving as a liaison among employees, HR leadership, division management, and outside immigration counsel.
    • Gather and validate employee and company information and assist in preparing government petitions, applications, supporting letters, and documentation under counsel's direction and review.
    • Track employment authorization documents (EADs), work permits, immigration status documentation, expiration dates, and renewal milestones; initiate timely follow-up and escalate potential gaps in work authorization.
    • Maintain accurate case information in attorney portals, internal tracking systems, and authorized government portals, as applicable; monitor case updates, required actions, and outstanding documentation.
    • Coordinate document collection, signatures, approved filing-related payments, and submission logistics with counsel and authorized company representatives.
    • Maintain complete, organized, and secure immigration records in accordance with company retention practices and counsel's guidance; support document requests and compliance reviews.
    • Provide regular case status updates and promptly escalate delays, changes in employee circumstances, or other issues that may affect a case. Sponsorship, immigration strategy, and other major decisions remain with HR leadership, division management, and legal counsel.

    Confidentiality and Broader HR Support

    • Exercise the utmost confidentiality and discretion with compensation, benefits, personal, and immigration information; share information only with authorized individuals who have a business need to know.
    • Follow established safeguards for accessing, storing, transmitting, and retaining sensitive records, and promptly report suspected data or confidentiality concerns.
    • Identify opportunities to improve data quality, reporting, employee service, and administrative processes through effective use of technology.
    • Participate in HR projects and additional assignments as business needs evolve, with opportunities to broaden HR knowledge and experience.

    Qualifications

    • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field, or an equivalent combination of education and relevant experience.
    • Three or more years of relevant HR experience, with experience in compensation analysis and/or benefits administration preferred. Immigration case coordination experience is a plus.
    • Strong analytical skills and proficiency with Excel, including data validation, lookups, pivot tables, and reporting; ability to learn HR systems and case management portals.
    • Excellent organization, follow-through, written and verbal communication, and attention to detail; ability to manage multiple deadlines and work effectively with employees, leaders, and external partners.
    • Demonstrated discretion, sound judgment, and the ability to handle highly confidential information.
