    About the Role

    We are looking for a Financial Accounting Coordinator to support day-to-day accounting operations while taking an active role in sales tax compliance, vendor compliance, financial documentation, and coordination with external accounting professionals.

    This is a hands-on position for someone who is accurate, organized, dependable, and comfortable following financial and tax-related processes from start to finish.

    The role will primarily support Eureka Ergonomic, while also assisting with the financial and back-office setup of Eureka Modular as applicable.

    The ideal candidate is someone who enjoys finding discrepancies, organizing information, following up on outstanding items, and making sure financial records and compliance documentation are complete and accurate.

    Key Responsibilities

    Accounting & Financial Operations

    • Maintain day-to-day bookkeeping, account coding, and financial records in QuickBooks Online
    • Reconcile bank and credit card accounts and investigate discrepancies
    • Organize invoices, receipts, payments, revenue, costs, and supporting documentation
    • Support monthly financial reporting and month-end close activities
    • Prepare organized financial information for management and external accounting professionals
    • Track outstanding accounting items, missing documentation, and required follow-ups
    • Maintain accurate, organized, and traceable financial records
    Sales Tax & Tax Compliance

    • Maintain sales tax codes, rates, and jurisdictions in QuickBooks
    • Use TaxCloud or similar sales tax automation software to support multi-state sales tax processes
    • Monitor state economic nexus thresholds and assist in identifying registration requirements
    • Assist with state sales tax permit registrations and related documentation
    • Review and maintain exemption and resale certificates
    • Support sales tax filing and compliance processes
    • Maintain complete and audit-ready sales tax documentation
    Vendor & 1099 Compliance

    • Collect and maintain vendor W-9 documentation
    • Monitor vendor payments for 1099 reporting purposes
    • Support preparation and filing of 1099-NEC forms
    • Maintain organized vendor tax records and supporting documentation
    • Follow up with vendors regarding missing or incomplete documentation
    CPA & Financial Coordination

    • Coordinate financial information between the company and external CPAs
    • Organize documentation required for tax filings, financial reviews, and compliance matters
    • Follow up with internal teams, vendors, and accounting professionals on outstanding items
    • Identify missing information, discrepancies, and overdue items
    • Communicate matters requiring management attention in a clear and timely manner
    • Provide organized financial information to support professional accounting and tax work
    Cost & Business Operations Support

    • Track logistics, warehousing, delivery, labor, and third-party costs
    • Prepare monthly cost comparisons and identify significant discrepancies or exceptions
    • Organize supporting documentation for claims and chargebacks
    • Track vendor quotations and cost/service comparisons for management review
    • Support financial coordination across Eureka Ergonomic and Eureka Modular as needed
    Documentation & Process Improvement

    • Maintain organized and accessible financial documentation
    • Maintain action lists for missing information and outstanding items
    • Follow up with responsible parties to obtain required financial information
    • Help document and improve repeatable financial workflows and procedures
    • Support the development of organized financial processes as the company grows
    What We're Looking For

    Required Qualifications

    • Experience with QuickBooks Online, including bookkeeping and account reconciliation
    • Experience with sales tax setup, reporting, or compliance
    • Experience with TaxCloud or a similar sales tax automation platform
    • Understanding of multi-state sales tax and economic nexus concepts
    • Familiarity with W-9 and 1099-NEC processes
    • Strong attention to detail and accuracy
    • Excellent organization and follow-through
    • Ability to identify discrepancies, missing information, and incomplete documentation
    • Strong written and verbal communication skills
    • Ability to communicate professionally with management, vendors, internal teams, and external accounting professionals
    • Ability to learn company-specific financial systems and processes quickly
    • Bilingual English/Mandarin Chinese Required
    Preferred Qualifications

    • California sales tax or CDTFA experience
    • Multi-state sales tax registration or compliance experience
    • Practical experience monitoring economic nexus
    • Experience tracking logistics, warehousing, delivery, or third-party costs
    • Experience working in a growing or multi-business organization

    What This Role Is

    This is a hands-on accounting and financial coordination role with significant responsibility for maintaining accurate financial records and supporting sales tax and financial compliance processes.

    You will work closely with company management, internal teams, vendors, and external CPAs and accounting professionals.

    This position is focused on accurate execution, coordination, organization, follow-through, and reliable financial documentation. It is not a CPA sign-off position and does not independently provide tax or legal advice.
