Job Summary:
We are looking for a highly capable, technology-forward Executive Assistant to support the Chief Compliance Officer and the broader Compliance organization. This role requires exceptional executive support skills, strong judgment, discretion, and the ability to operate in a fast-paced, highly sensitive environment.
The ideal candidate will not only manage traditional executive assistant responsibilities, but will also have hands-on experience using AI tools, workflow automation, and AI agents to improve productivity, organize information, streamline follow-up, and support operational execution. This person should be comfortable identifying repetitive processes, building or coordinating AI-enabled solutions, and helping the Compliance organization work more efficiently.
Essential Duties and Responsibilities:
Key Responsibilities
Provide direct executive support to the Chief Compliance Officer, including calendar management, meeting coordination, travel arrangements, expense reporting, document preparation, and follow-up tracking.
Manage complex calendars, prioritize competing demands, and ensure the CCO is prepared for meetings with relevant materials, background information, agendas, and action items.
Coordinate internal and external meetings involving senior executives, Legal, Compliance, Sales, Operations, Finance, HR, outside counsel, auditors, consultants, and other key stakeholders.
Prepare, edit, and organize presentations, reports, meeting materials, correspondence, trackers, and other business documents.
Maintain confidentiality and exercise sound judgment when handling sensitive compliance, legal, investigative, personnel, and business information.
Use AI tools and automation platforms to improve workflow efficiency, including summarizing documents, organizing meeting notes, tracking action items, drafting communications, managing tasks, and creating repeatable processes.
Assist in developing, testing, or implementing AI agents or AI-enabled workflows to support Compliance operations, such as document intake, task routing, policy tracking, audit follow-up, investigation support, training coordination, and reporting.
Identify manual or repetitive processes and recommend practical automation or AI-enabled improvements.
Create and maintain trackers, dashboards, and status reports for compliance initiatives, investigations, audits, training, policy updates, and executive follow-up items.
Support preparation for executive meetings, committee meetings, board-level updates, compliance reviews, audits, and regulatory or customer-facing meetings.
Help manage department priorities by tracking deliverables, deadlines, approvals, escalations, and dependencies across multiple stakeholders.
Coordinate with IT, Legal Operations, Compliance Operations, and other internal teams to support technology adoption and process improvements.
Assist with onboarding, vendor coordination, purchase orders, invoices, department communications, and other administrative or operational needs
AI and Technology Responsibilities
Qualifications:
Required Qualifications
5+ years of experience supporting senior executives, preferably in a public company, legal, compliance, technology, manufacturing, semiconductor, or highly regulated environment.
Strong experience with executive calendar management, meeting planning, travel coordination, expense processing, and executive communications.
Demonstrated experience using AI productivity tools, automation platforms, or AI agents in a business setting.
Strong proficiency with Microsoft Office, Google Workspace, Outlook, Teams, Zoom, Slack or similar collaboration tools.
Experience with workflow tools, project management tools, document management systems, or ticketing platforms such as ServiceNow, Asana, Monday.com, Jira, Smartsheet, SharePoint, or similar systems.
Excellent written and verbal communication skills.
Strong organizational skills and ability to manage multiple priorities, deadlines, and confidential matters.
High degree of professionalism, discretion, judgment, and follow-through.
Ability to work independently, anticipate needs, and solve problems without requiring constant direction.
Comfortable working in a fast-paced environment with frequent changes, urgent requests, and senior-level visibility.
Preferred Qualifications
Salary Range
$98,000 - $120,000
The salary offered will depend on several factors, including your location, level, education, training, specific skills, years of experience, and comparison to other employees already in this role. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation, such as participation in bonus and equity award programs.
