Junior Executive Assistant (On-Site | San Francisco, CA)

Overview

LHH Recruitment Solutions is assisting a fast-paced, high-energy professional services environment in seeking an experienced Junior Executive Assistant to support multiple senior stakeholders. This role requires exceptional organization, discretion, and the ability to manage competing priorities in a deadline-driven setting.

Key Responsibilities

  • Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders

  • Coordinate domestic and international travel, itineraries, and logistics

  • Track and submit expense reports (Concur or similar tool preferred)

  • Prepare, edit, and format presentations and documents (PowerPoint, Word, Excel, PDF)

  • Serve as a key point of contact for internal teams, clients, and vendors

  • Support deal/process coordination, including reporting and database management

  • Assist with event planning and execution (client events, team functions, etc.)

  • Provide proactive administrative support with strong attention to detail and follow-through

Required Qualifications

  • 3-5+ years of Junior Executive Assistant experience supporting senior-level professionals

  • Experience in professional services, financial services, or real estate environments strongly preferred

  • Proven ability to thrive in a fast-paced, high-demand environment

  • Strong multi-tasking, prioritization, and problem-solving skills

  • High level of professionalism, discretion, and emotional intelligence

  • Excellent written and verbal communication skills

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Experience with expense management systems (Concur or similar) a plus

  • Stable work history (no frequent job changes)

Work Environment

  • 100% on-site, 5 days/week (no remote flexibility)
