FULL TIME (W2) | IN PERSON POSITION | Northbrook, IL

As an Executive Assistant at Gamma Team Security Inc., you will play a crucial role in managing the executive office and ensuring smooth operations.

Current U.S. work authorization required.

Candidates must live within a 20-minute drive of Northbrook.


Yourresponsibilities will include: 
  •  Manage schedules and coordinate meetings 
  • Track project deadlines and milestones
  •  Communication, correspondence with government agencies and executive authorities
  • Serve as a liaison between the Company President and internal/external stakeholders 
  •  Prepare and review documents, reports, applications, meeting minutes, marketing materials and proposals 
  •  Maintain a high level of confidentiality and professionalism
  •  Maintain an organized filing system
  • Follow up with employees and clients to complete professional and business profiles 
  • Control employees to comply with company regulations and resolve conflict situations
  • Utilizing various software and technology tools to streamline processes and improve efficiency
  • Screen and prioritize emails, phone calls, and other forms of communication
  • Handling monthly reports and meeting minutes
  • Create forms, standardized documents, spreadsheets, and/or databases
  • Conduct internet research and prepare reports
  • Renew and apply for professional and business licenses in different states 
  • Prepare contracts, proposals, Quate Applications
  • Create documents formatted for electronic signature, ensuring efficient and secure processing
  • Overseeing office supplies, equipment, and facilities ensures a productive work environment
  • Assist HR department with calls, documents, and scheduling 

Required skills and experience
  • Bachelor's degree as a minimum 
  • Fluent in English (oral and written)
  • Strong written and verbal communication skills
  • HR experience is a plus  
  • Exceptional organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, emails, Adobe)
  • Easy to learn new software 
  • Phone ethics and patience
  • Ability to multitask and prioritize tasks effectively
  • Professional demeanor and strong problem-solving abilities
  • Ability to work in a fast-paced environment
