Executive Assistant
 
Position Summary:
We are seeking an experienced, highly organized Executive Assistant to provide direct administrative support to a Chief Legal Officer and additional members of the Law Department leadership team.
 
This is a highly visible role requiring exceptional professionalism, discretion, attention to detail, and the ability to effectively manage competing priorities in a fast-paced corporate environment. The Executive Assistant will work closely with other executive administrative professionals supporting C-suite leadership and will serve as an important coordination point across the organization.
 
The ideal candidate has previous experience supporting senior-level or C-suite executives and is comfortable handling confidential and sensitive information with the utmost discretion.
 
Responsibilities:
  • Provide comprehensive executive administrative support to the Chief Legal Officer.
  • Manage a complex executive calendar, including scheduling and coordinating meetings, appointments, and competing priorities.
  • Coordinate travel arrangements and prepare and process travel and expense (T&E) reports.
  • Support purchase order (PO), invoice, and related administrative processing.
  • Partner closely with Executive Assistants supporting other C-suite executives to coordinate schedules, meetings, and organizational priorities.
  • Provide light administrative support to additional Law Department executives, primarily related to travel and expense processing and meeting coordination.
  • Assist with Law Department meetings and events, including conference room reservations, meeting logistics, and coordination with Facilities.
  • Coordinate luncheon and catering arrangements as needed for departmental and executive meetings.
  • Handle sensitive and confidential business and legal information with a high degree of professionalism and discretion.
  • Anticipate executive needs, proactively resolve scheduling or administrative issues, and ensure timely follow-through on requests.
  • Maintain strong working relationships with internal departments, executive leadership, administrative teams, and external contacts.
Qualifications:
  • Previous Executive Assistant or senior-level administrative support experience required.
  • Experience directly supporting C-suite executives, senior corporate leadership, or comparable executive-level professionals strongly preferred.
  • Exceptional calendar management and organizational skills.
  • Experience coordinating travel and processing travel and expense reports.
  • Familiarity with purchase order and invoice processing.
  • Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities and respond effectively to changing schedules and business needs.
  • Strong attention to detail, judgment, and problem-solving skills.
  • Ability to collaborate effectively with other Executive Assistants and professionals across all levels of an organization.
  • Proven ability to maintain strict confidentiality and exercise discretion when handling sensitive information.

 
Pay Rate:  Up to $55.55 per hour depending on experience
