Description

  • Provide dedicated support to two senior leaders and the broader Global Distribution team in a high-visibility Executive Assistant role.
  • Manage complex calendars, coordinate meetings across multiple time zones, and anticipate scheduling needs.
  • Arrange detailed domestic and international travel, including flights, hotels, ground transportation, and itineraries.
  • Serve as a key point of contact for internal stakeholders, clients, and senior leadership.
  • Prepare meeting materials, presentations, and reports while ensuring deadlines are met.
  • Process expense reports, invoices, and administrative requests accurately and in a timely manner.
  • Coordinate team events, conferences, and special projects across a global organization.
  • Partner closely with other Executive Assistants to support team initiatives and ensure seamless operations.
  • Handle highly confidential information with professionalism, discretion, and sound judgment.
  • Help drive efficiency by leveraging technology, systems, and process improvements where appropriate.

Profile

A successful Executive Assistant should have:

  • 10+ years of executive support experience, preferably within financial services, asset management, investment banking, private equity, hedge funds, or a similarly fast-paced professional services environment.
  • Proven experience supporting senior executives, ideally C-suite, EVP, SVP, or other senior leadership teams.
  • Exceptional calendar management skills, including coordinating complex schedules across multiple stakeholders, time zones, and priorities.
  • Extensive experience arranging domestic and international travel, managing detailed itineraries, and handling last-minute changes with professionalism and urgency.
  • Strong experience processing expenses, invoices, and executive reporting while maintaining a high level of accuracy and attention to detail.
  • Outstanding communication skills, executive presence, and the polish required to interact confidently with senior leaders, clients, and external partners.
  • The ability to manage multiple competing priorities simultaneously while remaining organized, proactive, and solutions-oriented.
  • Experience supporting client-facing teams such as Distribution, Investor Relations, Sales, Marketing, or Business Development is highly preferred.
  • Strong proficiency in Microsoft Office Suite; exposure to Salesforce, Workday, CRM platforms, and AI-powered productivity tools is a plus.
  • A collaborative, team-first mindset with a willingness to partner closely with other Executive Assistants and cross-functional stakeholders.
  • Sound judgment, discretion, and the ability to handle highly confidential information with professionalism and integrity.

Job Offer
