Key job responsibilities

  • Manage complex scheduling, travel coordination, and expense reporting for senior leaders, proactively resolving conflicts and ensuring efficient use of time and resources.
  • Plan and execute team events and off-site meetings, coordinating logistics, managing budgets, and communicating with internal and external stakeholders to deliver a seamless experience.
  • Identify and optimize cross-team processes and procedures, leveraging generative artificial intelligence tools where appropriate to increase productivity and quality of deliverables.
  • Prepare, curate, and contribute content for leadership communications and organizational materials in partnership with key stakeholders, ensuring accuracy and appropriate tone.
  • Mentor fellow administrative professionals and help define support structures for the organization, contributing to a collaborative and high-performing team culture.

A day in the life

You will start your morning reviewing your leaders" schedules, adjusting priorities as new requests come in and ensuring preparation materials are ready for upcoming meetings. Throughout the day, you will partner with stakeholders across finance, human resources, and other functions to coordinate projects, resolve escalations, and keep information flowing. You might draft a communication on behalf of a leader, finalize logistics for an upcoming team event, or refine a recurring process to save the organization time.
