The Team

Alvarez & Marsal is seeking a dynamic, enthusiastic Executive Assistant (EA) to join the growing TAX team. This important position will be based in the Houston office. This position requires a hybrid schedule, and the standard working hours are 8:30am - 5:30pm.

How you will contribute

Responsibilities:

  • Coordinate Managing Directors' calendars through Outlook to ensure optimal time management and prioritization of high-level engagements and strategic meetings.
  • Submit expense reports through Concur and reconcile corporate credit card statements.
  • Work closely with the staff to keep the team well informed of upcoming commitments and responsibilities, ensuring streamlined communication and proactive dissemination of pertinent information and updates.
  • Research, prioritize, and follow up on emerging issues and concerns, providing actionable recommendations.
  • Facilitate seamless communication and collaboration between internal teams and external stakeholders, providing guidance to support personnel and ensuring alignment with organizational goals.
  • Schedule and organize meetings, conference calls, events, and other departmental activities.
  • Coordinate travel plans, hotels, and car service. Manage the planning and coordination of complex travel itineraries, including travel, hotels / accommodations, and executive transportation.
  • Provide general administrative support, including handling sensitive and confidential files, binding, answering phones, and project specific initiatives.
  • Represent the executive office by welcoming clients and visitors, ensuring a professional and polished first impression.
  • Assist with departmental projects and initiatives as needed and perform other work-related duties as assigned.
  • Handle sensitive and confidential information with discretion and professionalism, maintaining trust and integrity at all times.
  • Offer guidance and support to the executive assistant team to develop their skills and abilities, and assist with requests as needed.

Qualifications:

  • A Bachelors' Degree in relevant field of study (degree in business-related field a plus) is preferred.
  • 5+ years of Executive Assistant experience in consulting, professional services, accounting, or a law firm.
  • Feels comfortable with completing expense reports through Concur, invoicing and reconciliation of credit card statements.
  • Highly proficient with Microsoft Office Suite.
  • Understands the importance of strict confidentiality of internal/personnel affairs/client information.
  • Ability and desire to learn and develop new skills.
  • Excellent oral and written communication skills.
  • Impeccable attention to detail and self-review and strong follow-up skills.
  • Demonstrates ownership and accuracy of work product.
  • Must work efficiently and be able to meet deadlines; strong time management skills; prompt reliable service.
  • A self-starter who can multi-task and support multiple people with varied personalities.
  • Ability to work independently, as well as on a team, in a fast-paced environment.
  • Able to interact effectively and professionally with clients and all levels of firm personnel.
  • Willingness to be coached / desire and capacity for growth / positive teaming attitude.
  • Flexibility to work additional hours as required in the office and remotely.

Additionally, employees are eligible for paid time off including vacation, personal days, seventy-two (72) hours of sick time (prorated for part time employees), ten federal holidays, one floating holiday, and parental leave. The salary range is $70,000 - $75,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
