Executive Assistant Floater

Location: San Francisco, CA 94104
Schedule: 100% Onsite | Monday–Friday
Job Type: 6 months Contract
Max Pay Rate: $53.34/hr
Job Type: Part time (2 Hours a day) 3pm - 5pm worker will be sitting at main reception desk. 10 hours per week.

Overview

We are seeking an experienced Executive Assistant Floater to provide high-level executive support across multiple teams within a fast-paced professional services environment. This role serves as a critical resource, providing coverage for Executive Assistants during vacations, leaves, and other absences while ensuring seamless support for executives and business operations.

The ideal candidate is a seasoned Executive Assistant who thrives in dynamic environments, adapts quickly to different executive styles, and has a strong track record of professionalism, reliability, and discretion.

Key Responsibilities

Executive Support

  • Manage complex and frequently changing executive calendars
  • Coordinate domestic and international travel arrangements, itineraries, and logistics
  • Prepare and process expense reports accurately and timely
  • Schedule meetings and coordinate conference rooms, technology, and hospitality needs
  • Manage executive communications, correspondence, and inbox organization
  • Draft, edit, proofread, and finalize business correspondence and presentations
  • Anticipate executive needs and proactively resolve scheduling conflicts

Office & Reception Coverage

  • Provide afternoon reception desk coverage on a rotating basis
  • Welcome visitors and maintain a professional front-office experience
  • Serve as a point of contact for internal and external stakeholders

Administrative Operations

  • Coordinate meeting logistics and executive events
  • Maintain organizational systems, trackers, contacts, and records
  • Support special projects and ad hoc administrative requests
  • Handle highly confidential information with professionalism and discretion

Partnership & Collaboration

  • Liaise with executives, investors, clients, guests, and internal stakeholders
  • Build strong relationships across teams and departments
  • Provide coverage across multiple executive support teams as business needs change
  • Contribute to a collaborative and team-oriented office environment

Qualifications

  • 7+ years of Executive Assistant experience preferred
  • Experience supporting senior executives in fast-paced environments
  • Strong calendar management and travel coordination experience
  • Experience handling expense reporting and executive communications
  • Excellent verbal and written communication skills
  • Exceptional organizational and multitasking abilities
  • Ability to manage confidential information with discretion
  • Strong problem-solving and prioritization skills
  • Bachelor's degree highly preferred
