A well-established private business organization in San Antonio is seeking an experienced, highly organized, and proactive Executive Assistant / Family Office Administrator.
This is a trusted, hands-on role supporting senior leadership across multiple business interests, commercial properties, and personal matters. The ideal candidate enjoys variety, takes initiative, follows projects through to completion, and is comfortable handling both business and personal responsibilities with a high level of professionalism and discretion.
The successful candidate will be highly organized, resourceful, dependable, and capable of managing multiple priorities while serving as a central point of coordination for a variety of business and administrative activities.
Primary Responsibilities
- Manage calendars, appointments, priorities, travel arrangements, communications, correspondence, and follow-up for senior leadership.
- Serve as a central point of organization and coordination across multiple business and administrative activities.
- Assist with administrative and financial matters, including light bookkeeping, accounts payable and receivable, and coordination with outside accounting professionals.
- Provide administrative support related to commercial properties, including tenant matters, vendors, leases, maintenance, and routine property-related transactions.
- Assist with business-related projects, meetings, communications, permits, marketing initiatives, special events, and other projects as needed.
- Coordinate personal and confidential matters, including appointments, travel, household vendors, charitable activities, and other administrative needs.
- Coordinate vendors, maintenance personnel, and other service providers for office and property-related needs.
- Help improve systems, organization, administrative processes, and overall operational efficiency.
- Handle special projects and other responsibilities as assigned.
Qualifications
The ideal candidate will have:
- At least five years of relevant experience in executive support, family office administration, office management, real estate administration, bookkeeping, or a similar professional environment.
- Exceptional organizational skills, initiative, sound judgment, and strong follow-through.
- The ability to manage multiple priorities and projects while maintaining attention to detail.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and accounting software such as QuickBooks, Quicken, or similar applications.
- Experience with light bookkeeping and financial administration.
- Strong general technology skills and the ability to quickly learn and effectively use a variety of business applications.
- A high level of professionalism, discretion, and the ability to handle confidential information.
- A bachelor’s degree is preferred but not required.
