AWS Security is seeking a dedicated, resourceful, and customer-obsessed Executive Assistant to support our ADC Security Team. This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests.

A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. The position requires the capacity to work successfully in a team environment while keeping abreast of business objectives, standards, and related information in order to maintain a comprehensive awareness of the organization.

This position requires that the candidate selected be a US Citizen.

Key job responsibilities

  • Manage complex calendars and detailed scheduling with diplomacy and discretion.
  • Coordinate and plan domestic and international travel, including preparing trip agendas and local logistics.
  • Organize, execute, and assist with team activities such as directs" meeting agendas, on-sites/off-sites, all-staff meetings, etc.
  • Manage the team"s space planning in cross-collaboration with business partners; manage seat assignments and ensure efficient workspace allocation across teams.
  • Provide Exec preparation, including detailed coordination of reading materials and background information to ensure executive readiness for daily events.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Complete expense reports, purchase orders, and manage corporate card purchases; participation in budget planning and tracking as needed.
  • Serve as liaison between leadership and team members across multiple geographic regions.
  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner.
  • Timely response and appropriate escalation as security events occur.
  • Manage other core administrative activities (space planning, new-hire onboarding, organizational charts, supply ordering)
  • Act as a resource to partner with other assistants throughout the AWS Security team and across the rest of the company.
  • Have fun at work and help others do the same.
