Document Specialist

Maintain optimal machine performance by clearing jams, refilling toner, replacing machine oil, and performing other basic machine maintenance. Prepare paperwork for scanning by removing staples, paperclips, and other items that may prevent documents from scanning properly.

Overview

• Responsible for preparing, scanning, inspecting, compiling, assembling, and binding documents while maintaining customer satisfaction, quality, accuracy, and production standards.
• Work in a fast-paced, high-pressure production environment while meeting deadlines, PS+ standards, Time Productive requirements, and Impressions per Hour (IPH) standards.

Responsibilities

• Prepare paperwork for scanning by removing staples, paperclips, and other items that may prevent documents from scanning properly.
• Scan documents accurately using KODAK scanners and perform required inspection and quality checks.
• Process mail by scanning barcodes and handling documents according to established procedures.
• Compile, assemble, and bind documents according to customer specifications.
• Complete customer orders accurately, timely, and error-free while maintaining required PS+ standards.
• Meet facility-established Time Productive and IPH production standards.

• Use machine codes and report equipment failures or issues promptly.
• Complete all required paperwork accurately, legibly, and on time.
• Communicate problems effectively and promptly to the manager.
• Maintain an organized workstation to prevent assembly and processing errors.
• Follow established procedures, instructions, sequences, and production requirements.
• Adapt to new actions, changing situations, and customer needs while maintaining quality and output.
• Work effectively with coworkers, management, sales, and production departments.
• Work multiple shifts, including nights, weekends, overtime, and holidays, depending on work volume and customer requirements.

Requirements

• High school diploma or equivalent.
• Basic PC and typing skills.
• Ability to work in a team environment and maintain positive, productive working relationships.
• Ability to adapt to changing situations and remain flexible.
• Ability to perform repetitive tasks continuously while maintaining quality and production standards.
• Ability to work in moderate to high noise levels within a production facility.
• Ability to handle moderate stress levels and stressful situations for extended periods.
• Ability to stand on your feet for at least 8 hours per day.
• Ability to lift and move supplies weighing up to 50 lbs. from floor to waist height, carry them approximately 10 feet, and lower them back to the floor.
• Ability to lift 30+ lbs.
• No driving required.
• Business casual dress code; no T-shirts containing political or offensive words.
• Personal belongings must be stored in an assigned locker while working on the production floor.
• No phones are permitted on the production floor.
• Must be able to follow instructions and accommodate new procedures or actions.
• Interview: Onsite; manager/team will explain expectations and observe candidates performing the work, which may lead to a one-on-one interview.
