Overview The Administrative Assistant provides high-level administrative and operational support to the Warehouse Site Leader and leadership team. This role ensures smooth day-to-day operations by managing communications, scheduling, documentation, and compliance tasks. The ideal candidate is detail-oriented, organized, and capable of handling confidential information while supporting a fast-paced warehouse environment. Responsibilities Administrative Support Manage calendars, schedule meetings, and coordinate travel arrangements for the Site Leader. Prepare and distribute reports, presentations, and correspondence. Maintain accurate records, files, and documentation in compliance with PepsiCo standards. Handle incoming calls, emails, and inquiries professionally and promptly. Operational Coordination Assist with daily warehouse operations reporting (inventory, productivity, safety metrics). Support compliance with company policies, safety regulations, and audit requirements. Coordinate onboarding and training logistics for new hires. Track and manage purchase orders, invoices, and expense reports. Communication & Liaison Serve as the point of contact between the Site Leader and internal/external stakeholders. Facilitate communication across departments to ensure alignment on priorities. Organize site events, team meetings, and recognition programs. Event Planning & Coordination Plan and coordinate warehouse events, including employee engagement activities, safety celebrations, and leadership visits. Manage event logistics such as venue setup, catering, materials, and communication. Ensure events align with company culture and safety standards. Data & Reporting Compile and analyze operational data for weekly/monthly reports. Maintain dashboards for KPIs such as labor hours, throughput, and safety incidents. Assist in preparing presentations for leadership reviews. Compensation and Benefits The expected compensation range for this position is between $39,500 - $63,100. Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Qualifications Education: High school diploma required; Associate's or Bachelor's degree preferred. Experience: 2+ years in administrative or office support roles; experience in manufacturing or warehouse environment preferred. Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); SAP or similar ERP experience a plus. Soft Skills: Strong organizational and time-management abilities. Excellent written and verbal communication skills. Ability to handle confidential information with discretion. Problem-solving and adaptability in a fast-paced setting. Additional Requirements: Ability to work onsite at the warehouse location. Flexibility to support occasional extended hours during peak periods. Familiarity with safety and compliance standards in a manufacturing/warehouse environment.
