Job Summary:
Level 4 Transit is a 5-star Non-Emergency Medical Transportation (NEMT) company that is experiencingtremendous growth! So we are seeking an adaptable, hands-on AssistantOperations Manager to join our leadership team. In this multifaceted role, youwill split your time between office-based scheduling and dispatch operations,local fleet oversight, new client marketing and outreach, and administrativecompliance. You will also serve as a key backup driver when needed to ensurezero service disruption.
You will report directly to the OperationsManager and play a pivotal role in operational efficiency, client growth, anddriver support.
Key Responsibilities
Scheduling & DispatchOperations
- Oversee daily dispatch operations, optimizing routes for efficiency,safety, and on-time performance.
- Manage driver master schedules, shift coverage, meal/rest breakcompliance, and time-off requests.
- Monitor real-time GPS tracking and transit software to handle livererouting, traffic delays, and emergency adjustments.
- Support dedicated schedulers/dispatchers and serve as point of contactfor field drivers during operational hours.
Fleet Management & FieldWork
- Conduct regular physical inspections of fleet vehicles to verifycleanliness, safety gear, and mechanical condition.
- Schedule and coordinate preventive maintenance, annual inspections,repairs, and vendor servicing to minimize downtime.
- Manage vehicle check-in/check-out logs, fuel card reconciliation, andregistration compliance.
- Respond on-site to vehicle breakdowns, accidents, or complex fielddelays as needed.
Administrative & ComplianceSupport
- Maintain driver qualification files, Department of Transportation (DOT)compliance records, and Hours of Service (HOS) logs.
- Assist with driver recruitment, background checks, initial onboarding,and field road-testing.
- Other administrative tasks as the role grows.
Client Marketing & BusinessOutreach
- Identify and reach out to prospective regional clients (businesses,schools, event planners, healthcare facilities, or logistics partners).
- Assist in developing local marketing campaigns, promotional materials,and digital outreach efforts.
- Conduct sales presentations, prepare service quotes, and manageonboarding for new corporate accounts.
- Maintain and grow relationships with existing clients to encouragerepeat business and account expansion.
Backup Driving
- Safely step in as a backup driver during peak hours, unexpectedcall-outs, or emergency coverage.
Requirements
Qualifications &Requirements
- Experience: 1-3 years of combined experience in transportation dispatch,fleet management, and administrative support. Prior exposure to marketing,sales, or customer relationship management (CRM) is a strong plus.
- Licensing:
- Must hold a Texas driver's license.
- Clean driving record, clean criminal record, and able to pass a drugscreening.
- Complete specific driving and other training/certifications as required.
- Technical Skills: Proficiency with dispatch and routing software, CRMtools (e.g., HubSpot, Salesforce, Zoho), and proficient with Microsoft Officeapplications.
- Soft Skills: Exceptional organizational ability, strong interpersonaland sales communication, and quick problem-solving skills under pressure.
- Physical Requirements: Ability to conduct physical vehicle inspectionsoutdoors in varying weather and push a client of 350 lbs up a wheelchair rampand secure them in the vehicle.
- Time Flexibility: Operations runs from 4AM - 7PM and may require some of your attention outside of standard hours including weekends. Management will workout schedule to accommodate points of escalation for the front line team.
