Position Summary:
We are seeking a highly motivated and experienced Program Manager Learning Operations & Communications with 5+ years of experience in program management, learning and enablement programs, or enterprise program operations to join our AI Learning Program team. This position is ideal for a candidate who thrives in a fast-paced, deadline-driven environment to execute and deliver all operational aspects of AI Learning Program, including communications, content, presentations, tracking, ambassador engagement, and meeting logistics, ensuring every milestone is completed on time and with high quality. Working closely with the Program Lead, who owns strategy and final approvals, the successful candidate will be responsible for independently building, sending, tracking, and managing all program deliverables in a fast-paced and deadline-driven environment.

Description / Essential Functions:
Communications and Engagement
Draft and send all cohort communications end to end: welcome emails, reminders, nudges, graduation and certification notices, and advanced cohort invitations
Write and manage Teams and Viva Engage posts, announcements, and engagement campaign messaging
Draft the quarterly newsletter and recurring program updates
Monitor and respond to the program communications channels (email, Viva Engage, Teams)
Coordinate cross-functional communications with business unit leads and Enterprise AI leadership and executives
Moderate program channels; surface and amplify participant success stories and contributions
Presentation and Material Development
Design and build presentation decks for monthly cohort meetings, office hours, Pod Leader sessions, program launches, and executive briefings
Bring genuine visual design sensibility - clean layouts, strong information hierarchy, on-brand execution, and an eye for improving how material looks and reads
Build supporting materials including templates, one-pagers, playbooks, and participant guides
Create and maintain SharePoint pages as the program's single source of truth for resources, recordings, templates, and links
Prepare decks and session materials to be reviewed and approved by the Program Lead before delivery
Program Operations and AI Ambassador Outreach
Own the master program calendar covering monthly cohort meetings, office hours, pod meetings, and executive sessions
Schedule all recurring meetings, manage invitations, and handle reschedules and format changes
Provision and maintain participant access across tools.
Run the intake and placement workflow to select participants for cohorts
Maintain accurate cohort rosters and trackers across all participant tracks
Track learning progress and certification, validate completion, and submit final completion data
Coordinate room bookings, AV, and logistics for in-person sessions
Events, Meetings, and Training Support
Plan and support live learning experiences including monthly meetings, office hours, workshops, and AI Ambassador cohort launches
Coordinate guest speakers, agendas, and session materials
Help run meetings and training sessions - manage chat, support facilitation, and keep sessions on time
Run pre-session preparation checklists and post-session recaps
Tracking, Measurement, and Reporting
Maintain program trackers and the KPI dashboard, refreshing data on a set cadence
Build and maintain Excel trackers with clean structure, accurate data, and validation
Run cohort feedback surveys and retrospectives, and surface insights for program improvement
Monitor program health metrics including engagement, completion rate, drop-off, time-to-certification, and sentiment
Support KPI reporting and executive summaries for leadership
Minimum Qualifications:
5+ years in program management, learning and enablement programs, or enterprise program operations
Experience managing cohort-based training and learning programs end-to-end
Strong written communication with the ability to draft professional content independently
Advanced PowerPoint, visual design, and Excel tracking/reporting skills
Experience with SharePoint, Outlook, Teams, and meeting coordination
Daily use of AI tools such as Microsoft 365 Copilot, ChatGPT, and Claude
Highly organized, self-driven, and capable of handling multiple deadlines
Able to lead meetings, manage stakeholders, and coordinate support staff
Preferred Qualifications:
Experience in corporate learning, talent development, or certification programs
Familiarity with change management, facilitation, Power BI/Power Apps, and large enterprise environments
Position Type/Expected Hours of Work:
Hybrid work environment (3-4 days onsite per week)
