Position summary

The Alumni Relations Administrative Specialist provides day-to-day administrative support to the alumni relations team. This role performs a variety of administrative duties, including scheduling meetings, processing invoices and travel reimbursements, monitoring the alumni relations LinkedIn feed, LinkedIn group, and Outlook inbox, and updating alumni information, job changes, career services information, and related content in the firm's CRM, SharePoint, alumni website, and other alumni relations platforms, as appropriate.

Job duties and responsibilities

  • Review and manage the alumni relations LinkedIn feed, LinkedIn group, and Outlook inbox, and respond as appropriate.
  • Update information in the firm's CRM and SharePoint databases, including alumni job changes.
  • Update alumni relations career services databases/platforms, including candidate information and job postings in SharePoint and on the alumni website.
  • Compile content for internal and external use and post to websites and platforms as needed.
  • Assist with alumni events, including reviewing alumni lists and related event information.
  • Assist with scheduling meetings.
  • Process invoices and travel reimbursements.
  • Perform other duties as assigned.

Requirements

Education: Bachelor's degree in a professional discipline required.

Experience: Minimum of 2 years in a human resources or marketing administrative role, ideally within a professional services firm.

Skills:

  • Strong knowledge of Microsoft Office products, including Word, Excel and PowerPoint, 3E accounting software and Emburse travel and expense management software.
  • Strong organizational skills and attention to detail.
  • Effective written and verbal communication skills, with the ability to interact professionally with colleagues and external contacts.
  • Ability to work effectively with colleagues at all levels of the firm, establish positive working relationships, and respond to challenging situations with professionalism.
  • Ability to follow established procedures, use appropriate discretion in routine matters, and maintain confidentiality.
  • Highly motivated, flexible, adaptable to change, and able to contribute creative ideas to support alumni engagement initiatives.

Supervisory responsibilities: None

Equipment used: Personal computer and other office equipment such as telephone, calculator, copier, scanner, etc.

Working conditions

Works remotely. Occasionally called upon to work hours in excess of your normal daily schedule. Potential for in-office work requests as needed, so proximity to the office is important.

Pay ranges

This is a non-exempt position. The hourly wage range for this role is $22.84 to $31.32 per hour, with an estimated annual compensation range of $47,500 to $57,000, based on expected hours. This represents the presently anticipated pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience.

  • Pittsburgh, Richmond, Houston, Dallas, Denver, Atlanta – $22.84 – $25.96 per hour (approximately $47,500 – $54,000 annually based on expected hours)
  • Miami – $24.36 – $27.69 per hour (approximately $47,500 – $54,000 annually based on expected hours)
  • Philadelphia, Wilmington – $24.28 – $27.40 per hour (approximately $50,500 – $57,000 annually based on expected hours)
  • Chicago – $27.75 – $31.32 per hour (approximately $50,500 – $57,000 annually based on expected hours)
