Primary Purpose of Organizational Unit

Counseling and Psychological Services (CAPS) provides psychological services to all students enrolled at UNC Chapel Hill who have paid the student health fee. The psychological/counseling services provide individual, couples, and group therapy, same day triage appointments, crisis intervention, outreach services and medication evaluation and management. The team also provides risk assessment evaluation for the Dean of Students office.

Position Summary

UNC Counseling and Psychological Services (CAPS) is the primary mental health provider for enrolled students and post-doctoral fellows at the University of North Carolina at Chapel Hill. CAPS provides compassionate, confidential psychological care and support to help students navigate personal, academic, and emotional challenges.

The Administrative Support Associate primarily functions as a central check-in representative, receptionist and appointment scheduler for CAPS. The individual serves as the first point of contact for students, patients, visitors, and callers, and plays a critical role in ensuring accurate registration, efficient office operations, and positive patient experience. A key responsibility includes proactively contacting students prior to appointments to obtain and verify health insurance information to ensure timely and accurate billing and registration processes.

This position is essential to maintaining efficient clinic operations, supporting patient access to services, and ensuring a welcoming and positive experience for all CAPS patients.

Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Management Preferences

  • Prior experience working at the front desk in a medical office or hospital setting.
  • Administrative experience to include multiple phone line systems.
  • Prior college health/healthcare setting experience.
  • Experience verifying active insurance cards and entering subscriber and group number into a practice management system.
  • Prior experience using eCW and/or Titanium.
