Job Title: Administrative Specialist, Career Tech Student Organization (CTSO)/Counseling & Special Populations

Salary Structure: $20.71/hr.+ (based on related experience)

Position Contract: 12-month, Non-exempt, Support Staff, Grade 4

General Description:

Metro Technology Centers is accepting applications for an Administrative Specialist, Career Tech Student Organization (CTSO)/Counseling & Special Populations who will assume responsibility for the daily management of a designated office by performing and/or supervising a variety of administrative support duties requiring good organizational skills and great attention to detail.

General Qualification Requirements:

Education/Experience:

  • High school diploma or G.E.D.
  • Thirty-six months office experience

(Above requirements may be met by equivalent combination of education and experience)

Representative Duties:

  • Initiates purchase requisitions, budget transfers, processing invoices and maintains budgetary records for department or multiple departments.
  • Sets priorities on clerical duties and interacts with other departments to insure organization efficiency.
  • Input, verify and submit membership for CTSO's
  • Input, verify and submit registration for conferences and contests
  • Maintain spreadsheet of students and faculty attending each conference and hotel location, if staying in different hotels
  • Prepare and process required paperwork/forms for teachers.
  • Disperse student paperwork to teachers/admin. assistants for processing.
  • Create and maintain timeline/calendar of CTSO events, deadlines, etc.
  • Document activities for CTSO/Counseling & Special Populations Department
  • Serve as main contact for contest-related travel questions.
  • Update CTSO Guidebook as needed.
  • Make travel arrangements for conferences: lodging, transportation, travel requests, per diem forms
  • Assist with planning and preparations for contest hosts
  • Provide transportation in district vehicles for participants to required trainings, workshops, events as needed.
  • Obtain, inventory and maintain official CTSO attire.
  • Assist with planning and preparation for Metro Tech Officer Installation Ceremonies, NTHS Inductions, and other events as needed
  • Attend conferences to assist with student and advisor needs
  • Attend CTSO Coordinators meetings and updates.
  • Serve as Backup to site Admin Specialist in answering phones, door buzzer, assisting visitors, and other administrative duties as needed (when site admin specialist is unavailable)
  • Performs related duties as assigned.

Required Knowledge, Skills, and Abilities:

  • General administrative support experience to include: Microsoft Word advanced proficiency. Excel intermediate proficiency (adept with spreadsheet design and use of formulas.
  • Business communication: uses creativity in composing or presenting oral or written communication.
  • Excellent communication skills including telephone etiquette and exemplary customer service skills.
  • Ability to analyze, problem solve and work independently.
  • Ability to maintain security of confidential materials.
  • Ability to give explicit or general directions.
  • Ability to work well on a team and with others.
  • Reliable, dependable and punctual attendance.
  • Ability to travel occasionally overnight/weekends.

Reports to: Receives general supervision from designated district leader.
