We are seeking a highly dynamic Executive and Operations Administrator to drive operational excellence, financial oversight, and legislative coordination within our Construction Division. Serving as a crucial link between executive leadership, field operations, and county stakeholders, this role manages high-level administrative functions, division-level procurement, and fleet management to ensure seamless public infrastructure operations.
The position acts as the primary point of contact for high-priority inquiries originating from executive leadership, including the Mayors Office, Board of County Commissioners, and Department Directors. Using spatial tools like GIS viewers, Cyclomedia, and public works permitting portals, the administrator conducts technical field research to resolve constituent complaints and draft detailed narrative and statistical reports. Additional administrative responsibilities include coordinating core HR actions, recruitment workflows, position reclassifications, and workplace safety initiatives, including managing incident tracking and budgeting for essential MOT and OSHA safety certifications.
In legislative and financial operations, the administrator drafts, tracks, and routes legislative packages, resolutions, and board directives while monitoring CITT and committee agendas to ensure compliance with board-mandated deadlines. Financial duties involve managing division procurement workflows in enterprise finance modules, approving surtax-funded requisitions in public works systems, monitoring contract and grant compliance, and conducting annual physical inventories for capital assets valued over 5,000 dollars.
The role also serves as the Division Fleet Coordinator, using fleet management software to monitor vehicle allocations, fuel consumption, recalls, and maintenance schedules. The candidate will oversee light vehicle procurement, author the annual 5-Year Vehicle Replacement Plan for budget submission and represent the division at monthly countywide fleet meetings. Qualified candidates should possess a strong background in municipal operations management, public sector procurement, legislative tracking, and technical site research.
