    JOB OVERVIEW:

    Under the supervision of the General Manager of Crane Maintenance & Repair, the Administrative Manager assists all Maintenance Department Managers and Foreman with maintenance parts inventory, maintenance work orders and job cost summary report generation. Works closely with Information Technology, Finance, Internal Audit, and Purchasing Departments on maintenance-related projects and issues.

    JOB DUTIES:

    • Manages all daily Storeroom activities and establishes work assignments and shift schedules.
    • Oversees the operation of inventory at all GPA storerooms including Garden City Terminal, Ocean Terminal, Appalachian Reginal Terminal.
    • Maintains/monitors the minimum/maximum inventory levels, and reviews and maintains adequate daily inventory records for inventory control.
    • Responsible for all requisitions for storeroom supplies and stock items at all GPA storerooms including Garden City Terminal, Ocean Terminal, and Appalachian Regional Terminal.
    • Manages storeroom/maintenance office procedures, including reports, purchase order files, on-order files, issues and receipts.
    • Responsible for inventory counts and audits. Audits inventory of parts to ensure proper accountability and amount of spare parts on-hand.
    • Issues DPO's for minor items and generates, reviews, and matches invoices to DPO's to close out purchase order.
    • Establishes and maintains inventory catalog and numbering system.
    • Maintains records for GPA property sent out for repair (tires, radiators, tools, instruments, etc.).
    • Manages the maintenance of all PC operating systems for the Maintenance Department, including interfacing computer operations with Information Technology, Purchasing, and Finance.
    • Must be capable of resolving all problems relating to parameters in the SAP configuration for Plant Maintenance Module, Inventory Control System, and system maintenance.
    • Assists all Maintenance Department Managers and Foreman with maintenance parts inventory, maintenance work orders, and job cost summary report generation.
    • Prepares summary reports, weekly, monthly, quarterly, and annually for Maintenance Departments.
    • Assists Maintenance Managers in the development of equipment component specifications and bid package review.
    • Assists in all Maintenance department functions, including timekeeping, attendance records, and employees' files.
    • Assists with updates and controls Engineering and Maintenance technical library and as-built drawing files.
    • Maintains all Storeroom tools in good operating condition.
    • Maintains a safe and clean working environment.

    JOB REQUIREMENTS:

    Knowledge, Skills, & Abilities

    Extensive computer experience with databases and inventory programs, SAP, AutoCad, MicroStation, dBase, and Microsoft Office and have an aptitude for computer-programming desired.Must possess the ability to supervise employees.Must be able to communicate well both verbally and written.Excellent oral, written, and listening skills required.Ability to deal effectively and professionally with the GPA staff on all levels as well as customers, representatives of the shipping industry, and the general public required.Must be able to work shift work (nightshift), holidays, and weekends as necessary.Willing to shift between departments and divisions as assigned.

    Experience

    3 years of related work experience Preferred Prior management experience Preferred

    Education

    Preferred Bachelor's Degree in Business, Transportation, or related field

    TWIC - Transportation Worker Identification Credential RequiredDriver's License - Valid state driver's license Required
