Further, the commission understands its role in representing the consumers of used motor vehicles and seeks to protect their interests by strengthening the relationship between dealers and consumers, assisting in dispute resolution, maintaining education programs to promote industry standards, and assisting the office of motor vehicles in enforcement of its laws related to used motor vehicle transactions.

Overview of this Role:

The Administrative Coordinator 3 (WAE) role is to assist in the review and processing of license applications ensuring they meet all relevant regulatory requirements and standards. This Administrative Coordinator 3 position appointment type is part-time. Incumbent in this position may not work more than 1.245 hours per year.

Minimum Qualifications

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Job Duties and Other Information

Job Duties:

Administrative Coordinator 3 (WAE) provides administrative support to the Commission, assisting with the management of licensing workflows, answering inquiries, and offering guidance to applicants to ensure compliance with all state laws and regulations. This position requires strong attention to detail, organizational skills, and a deep understanding of licensing procedures and regulations within the used motor vehicle industry.

  • Examine applications submitted for licensure to ensure compliance with the statutory requirements set forth by the Commission.
  • Assesses and collects approximate license fees.
  • Maintains required records for all licensure applicants, ensuring compliance with specific requirements, including the maintenance of a valid surety bond, garage liability insurance, business telephone, proper zoning, and the correct prescribed signage.
  • Inputs all application data, including surety bond details, liability insurance, corporation information, and other relevant details for both existing and proposed dealers, into the complex multi-screen licensing software.
  • A strong knowledge of the licensing software is essential to efficiently process applications and issue dealer and salesperson licenses.
  • Scans all applications and corresponding documents related to each license after issuance and throughout the license year for record-keeping and compliance purposes.
  • Contacts bonding companies and the Secretary of State's Office to verify the validity of bonds, corporations, partnerships, LLCs, and LPs. Conducts bi-monthly insurance runs to confirm the validity of liability insurance and surety bonds for licensed dealers.
  • Responds to numerous telephone calls from Compliance Investigators, licensees, prospective dealers, salespersons, and the general public.

Position-Specific Details:

Appointment Type: Classified WAE - 1,245-hour limit per year.

Career Progression: This position does not participate in a Career Progression Group.

Work Schedule: Work hours are 7:30 AM to 4:00 PM, Monday - Friday.
