    Job Summary

    We are seeking a detail-oriented Administrative Assistant to provide comprehensive administrative support and ensure smooth office operations. This part-time position (30 hours per week) plays a key role in maintaining compliance with company procedures, supporting staff with reporting, and managing day-to-day administrative responsibilities. The ideal candidate will have a medical background, as they will be responsible for reviewing medical questionnaires in addition to standard administrative tasks.

    Key Responsibilities

    • Promote and maintain a safe work environment in alignment with company safety standards.

    • Process, track, and coordinate the completion of staff timesheets and procurement card reports.

    • Ensure adherence to Southern Company administrative, accounting, and compliance procedures.

    • Perform various administrative office duties, including maintaining office supplies and managing inventories.

    • Coordinate meetings, events, and travel arrangements for team members and leadership.

    • Support office relocations, ensuring all logistics and communication are managed efficiently.

    • Create, organize, and track project correspondence, records, and documentation.

    • Provide general support and perform miscellaneous assignments as directed.

    • Review and verify medical questionnaires accurately and confidentially, maintaining compliance with medical privacy standards.

    Experience:

      • Minimum of 3–5 years of administrative support experience.

      • Medical background is essential — experience reviewing or managing medical documentation preferred.

      • Prior experience within the energy, construction, or utilities industry is a plus.

    • Technical Skills:

      • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

      • Experience with data entry, document tracking, and reporting systems.

    • Soft Skills:

      • Exceptional organizational and multitasking skills.

      • Strong attention to detail and ability to meet deadlines.

      • Professional communication and interpersonal skills.

      • Ability to maintain confidentiality when handling sensitive medical and personnel information.

    Preferred Attributes

    • Experience supporting compliance or safety programs.

    • Familiarity with Southern Company systems or administrative processes.
