Position Objective:
The Administrative Associate, Operations will provide administrative support for the Senior Director, Operations, Human Resources and the Austin Operations team.
Responsibilities:
Essential Functions:
- Assist with preparing a variety of Operations Management reports.
- Assist with processing timesheets and time reporting, tracking cross-training hours, and data entry of premiums/call pay.
- Manage administrative functions associated with Employee Recognition programs.
- Assist in budgeting, coding of invoices, purchase requisitions, and expensing in Concur.
- Track and approve general operations invoices/expenses, including safety shoes, loupes, uniforms/shoes, etc.
- Assist with tracking/facilitating ECN progression.
- Provide administrative support for facilities with data entry of P.M.s.
- Perform site mailroom and document destruction.
- Perform clerical updates or basic revisions to SOPs.
- Assist with Site Safety Program and Disaster Recovery Plan.
- Schedule, organize, and create meeting minutes for in-house & off-site meetings.
- Assist with electronic and manual filing.
- Facilitate and order catering for site events/orientations.
- Create and process office supply orders.
- Handle other special projects for Operations/Human Resources and the company, as needed.
- Other responsibilities as assigned.
Qualifications:
- Minimum 2 years experience as an Administrative Assistant or equivalent.
- High School diploma or equivalent, some college preferred.
- Excellent organizational skills and managing multiple tasks.
- Excellent communication and interpersonal relationship skills.
- Advanced computer skills - including Microsoft Office, internet, and email.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Ability to lift or bend forward with a load of up to 25 lbs.
