Job Description:
Our client is looking to bring on an Administrative Assistant to support a team of Executive Assistants and senior leadership. This role will focus on handling a mix of day-to-day administrative tasks and team support functions. It’s a great opportunity for someone who enjoys variety, takes initiative, and can operate effectively in a fast-paced, high-expectation environment. You’ll play a key role in ensuring smooth operations by assisting with scheduling, expenses, meeting logistics, and team coordination efforts.
Key Responsibilities:
- Support expense report processing and timesheet submission
- Assist with calendar coordination, meeting scheduling, and travel logistics
- Coordinate conference rooms, meeting materials, and basic AV setup
- Prepare documents, presentations, and proposal materials
- Help manage shipping and delivery of business materials
- Assist with internal events, meetings, and team functions
- Track and submit vendor invoices and support payment processes
- Partner with Executive Assistants to prioritize and execute daily tasks
- Maintain a high level of professionalism and confidentiality
Qualifications:
- Bachelor’s degree required
- 2–4+ years of administrative or office coordination experience
- Experience in consulting, professional services, or similar fast-paced environments preferred
- Strong Microsoft Office skills (Outlook, Excel, Word, PowerPoint, Teams/SharePoint)
- Experience with expense and time tracking tools (Concur, SAP, Replicon preferred)
- Excellent organizational and multitasking abilities
- Strong communication skills, both written and verbal
- Detail-oriented with the ability to manage competing priorities
- Professional demeanor with a proactive, “no task too small” mindset
