A local organization is seeking a high-level Administrative Assistant to provide day-to-day administrative support to the Donor Services Director. This is expected to be a 68 week temporary position.
High school diploma or GED required
Must be 21 years of age or older
Current, valid drivers license
Must have an MVR with zero points and no moving/traffic violations within the past 3 years
Must be able to pass a background check and drug screen
Strong Microsoft Excel skills
Comfortable running reports and learning new systems quickly
Strong communication and organizational skills
Able to handle confidential payroll and employee information professionally
Must be dependable, detail-oriented, and able to manage multiple priorities
The Administrative Assistant will support the Donor Services Director with daily administrative operations, reporting, staff support, onboarding coordination, vehicle and facility oversight, and assigned projects. This position will work with both staff and donors, making professionalism, confidentiality, communication, and attention to detail extremely important.
Check center/mobile carts and storerooms to ensure they are clean, organized, decluttered, and audit-ready
Review donor complaints and service concerns within 24 hours
Check mobile computer kits for damage and identify or remove barriers
Ensure vans, trailers, chase vehicles, and coaches are cleaned and maintained according to guidelines
Maintain weekly vehicle logs and provide updates to management
Complete weekly staff timecards and address mobile drive sheets
Deliver corrective action to staff regarding attendance issues
Review assigned projects for status, next steps, and deadlines
Communicate project delays or barriers to leadership
Prepare and maintain various reports, including loss reports and monthly dashboard reports
Complete new-hire paperwork
Coordinate onboarding travel, hotel, and training logistics when applicable
Communicate onboarding details with new hires and leadership
Communicate with mobile teams and supervisors through GroupMe
Assist with tabling events and career fairs
Provide general administrative support to the Donor Services Director
Handle confidential employee and payroll information appropriately
Previous administrative or office management experience preferred
Experience working with payroll, timekeeping, employee records, or staff support is a plus
Strong attention to detail and follow-through
Ability to prioritize tasks and meet deadlines
Professional and confident communication skills
Comfortable working with both employees and donors
Ability to quickly learn new software, systems, and processes
Ability to drive company vehicles as needed
