OVERVIEW
Provide high-level administrative, operational, and project support to the Dean of the College of Business. This role ensures the smooth functioning of the Dean's office by managing communications, coordinating schedules, supporting academic and strategic initiatives, and serving as a primary point of contact for faculty, staff, students, and external partners. This Assistant represents the Dean's office with professionalism, discretion, and a strong commitment to serve.
RESPONSIBILITIES
Executive Support
- Manage the Dean's calendar and schedule appointments
- Coordinate travel arrangements
- Ensure timely preparation of meeting materials
- Manage the Dean's phone line by screening, prioritizing, and intercepting calls, responding to inquiries and re-directing as needed
- Compile background materials to support decision-making
Communication & Meeting Management
- Draft, edit, and distribute official correspondence including electronic announcements and written reports
- Prepare agendas, compile documents and photos, record minutes, and track follow-up actions for meetings
- Coordinate meal arrangements as appropriate
Office Operations
- Oversee daily office functions including records management, procurement, and workflow coordination
- Support faculty recruitment process by managing applicant materials, site visit schedules, and facilitating communication between HR and the Dean
- Maintain accurate and confidential faculty records, including contracts and evaluations in compliance with institutional and accreditation standards
- Assist with special projects, and strategic initiatives as assigned
- Oversee scheduling and workload of Graduate Student Workers
Budget & Financial Support
- Assist with budget monitoring, purchasing, reimbursements, and financial documentation
- Assist with financial processes for faculty and student needs as appropriate
Event Coordination
- Support planning and execution of college events, advisory board meetings, and faculty or student programs
- Set up reception, design, and seating, coordinate and supervise workers, initiate IT scheduling or photography as needed
- Accommodate guest speaker needs including hotels, travel, honorariums, and reimbursements
Stakeholder Relations
- Serve as the first point of contact for the Dean's office, providing professional and courteous assistance to all visitors and inquiries
- Facilitate responses to external stakeholders by collaborating with departments across the institution
Additional Responsibilities
- Oversee the maintenance of student and program records as needed
- Respond to and assist in the resolution of student, faculty, and/or staff grievances and complaints
- Assist with adherence to institutional policies, accreditation requirements, and administrative procedures
COMPETENCIES
EDUCATION: Requires a high school diploma or GED, some college education preferred.
EXPERIENCE/SKILLS/ABILITIES:
- Demonstrated professionalism and a high standard of conduct
- Strong attention to detail and accuracy that produces high quality work
- Demonstrated ability to maintain confidentiality and exercise sound judgment
- Excellent organizational skills with the ability to work under tight deadlines and manage multiple priorities
- Strong oral and written communication skills
- Demonstrated proficiency in MS Office Suite, scheduling platforms, and digital collaboration tools
- Knowledge of and experience with Outlook, Zoom, social media, and website design, e.g., OMNI
- Ability to identify and access supporting resources to solve problems and implement solutions
- Ability to work well independently and collaboratively
