Position: Administrative Assistant to the Chief Operating Officer (COO)
Schedule: On-site | 7:30 AM 4:00 PM
Pay Range: $48,000 $52,000 (DOE)
About the Role
A private K12 Christian school is seeking an Administrative Assistant to the COO to provide high-level administrative and organizational support. This role helps the COO stay prepared, organized, and focused on operational priorities while ensuring day-to-day administrative responsibilities are handled with professionalism, discretion, and excellence.
The ideal candidate is a committed Christian who supports the schools mission and values, demonstrates strong attention to detail, and is proactive, polished, and service-oriented. This position works closely with school leadership, faculty/staff, parents, vendors, and the broader school community.
Key Responsibilities
- Provide daily administrative and organizational support to the COO.
- Anticipate needs, manage priorities, and help keep projects and deadlines on track.
- Manage calendar scheduling, meetings, and appointment logistics; communicate schedule changes as needed.
- Coordinate meeting preparation and follow-up (agendas, materials, room/tech setup, refreshments, notes, action items).
- Track action items, requests, deadlines, and follow-ups; provide reminders and status updates.
- Draft, proofread, format, and distribute communications and documents (reports, presentations, spreadsheets, etc.).
- Organize information for dashboards, reports, and administrative decision-making.
- Maintain confidential files and sensitive information with discretion and professionalism.
- Serve as a liaison between the COO and departments to support timely communication and coordination.
- Coordinate travel arrangements and itineraries as needed.
- Assist with invoice processing, purchase requests, expense documentation, and related administrative paperwork.
- Maintain departmental resources such as planning documents, calendars, and operational records.
- Coordinate with vendors and external partners regarding services, meetings, and documentation.
- Order and maintain office supplies and hospitality items.
- Support planning/coordination for Finance Committee, School Board, leadership, and department meetings as needed.
- Serve as a welcoming point of contact for employees, parents, vendors, and guests interacting with the COOs office.
- Assist with student safety/supervision duties as assigned (arrival, dismissal, lunch, etc.).
- Perform special projects and other duties as assigned by the COO.
Required Qualifications
- 5+ years of administrative assistant experience (supporting leadership preferred)
- Strong organizational skills, time management, and follow-through
- Excellent written and verbal communication skills
- High level of professionalism, judgment, and discretion with confidential information
- Strong proficiency with office technology and administrative tools
- Ability to manage multiple deadlines and shifting priorities
- Collaborative, flexible, and solutions-oriented mindset
Preferred:
- Bachelors degree (or higher)
