Essential Duties and Responsibilities Include:
- Maintains confidentiality, unquestionable integrity.
- Coordinates a variety of activities for department staff (meetings, receptions, luncheons, workshops, travel/accommodations, etc.)
- Answer phones, and respond to emails.
- Provide quality customer service both in person and over the phone.
- Process participant registrations using an online based registration system.
- Responsible for managing the District's online facility reservation process.
- Track facility usage and invoice affiliate groups.
- Prepare documents for department staff using Microsoft Office and Google.
- Use Microsoft Excel or Google Sheets to track data.
- Set up programs in the online registration system.
- Generate reports, rosters and other documents from the online registration system.
- Create, supervise and coordinate the preparation and printing of seasonal activity guides.
- May accept and deposit funds for activity registrations and rental fees.
- Ensure all employee contact information is accurate and up to date.
- Prepare payroll for processing by the district business office.
- Process payment requests and purchase orders.
- Responds to a wide variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
- Assist in the management of the department website and social media platforms.
- Participate in the development of department budget.
- Other duties as assigned.
