About the role This position keeps the administrative side of the business running smoothly: office operations, vendor management, scheduling support, and the small things that keep a growing company from feeling chaotic. You'll work closely with leadership and every department, so you need to be organized, discreet, and comfortable wearing a lot of hats.

Responsibilities

Office operations

  • Order and manage office supplies, snacks, and equipment; track inventory and reorder before things run out
  • Manage vendor relationships (cleaning, IT support, maintenance, catering) and be the point of contact for service issues
  • Maintain the office calendar: conference room bookings, internal schedules, all-hands or team events
  • Track and reconcile basic office-related expenses; flag anything unusual to leadership
  • Set up and tear down conference rooms for meetings, interviews, and events
  • Keep the office — including the lobby and common areas — clean, stocked, and presentable
  • Receive, log, and route occasional deliveries and packages

Administrative support

  • Support leadership with light scheduling, calendar coordination, and travel booking
  • Assist with onboarding logistics for new corporate hires — desk setup, equipment, badge/access, welcome materials, first-day coordination
  • Help draft, format, and proofread internal communications, memos, and documents
  • Maintain organized digital and physical filing systems
  • Assist with coordinating internal meetings, offsites, and company events
  • Take notes or minutes for select internal meetings as needed
  • Handle ad hoc administrative projects across departments

What we're looking for

  • 1+ years of administrative or office support experience
  • Strong organizational skills and the ability to juggle multiple priorities without dropping the ball
  • Comfortable with Microsoft Office / Google Workspace; picks up new tools quickly
  • Professional and dependable, with good judgment and follow-through
  • Discreet with sensitive information and comfortable supporting leadership directly
  • Proactive — flags problems before they become bigger problems, rather than waiting to be asked

Pay: $18–$23/hr, based on experience 

Schedule: Full-time, in-office, Austin, TX (North Austin)
