We are seeking a professional, organized, and customer-focused Administrative Assistant I to support a busy Health Services office in New York City. This is a long-term assignment offering the opportunity to gain valuable administrative experience while serving as the first point of contact for office visitors.
 
The ideal candidate has at least one year of customer service experience, excellent communication and organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Previous receptionist experience is highly preferred.
 
What You'll Do
As an Administrative Assistant, you will provide front desk and general office support while helping ensure smooth day-to-day operations.
 
Key responsibilities include:
  • Greet and assist office visitors in a courteous and professional manner.
  • Answer and direct incoming telephone calls and accurately distribute messages.
  • Ensure facility visitors complete required documentation related to the security and protection of PHI.
  • Prepare letters, correspondence, and other documents as needed.
  • Assist with maintaining office records and filing systems.
  • Prepare outgoing shipments and log incoming shipments.
  • Create shipping labels for FedEx, UPS, and other mail and delivery services.
  • Maintain document control for incoming and outgoing mail and project correspondence.
  • Maintain a neat, professional, and organized reception area.
  • Monitor and maintain office supply inventory.
  • Coordinate communication and administrative activities with the Senior Site Manager and other staff.
  • Support special projects and activities as assigned.
  • Schedule conference rooms and training rooms.
  • Take meeting notes as requested.
  • Provide backup administrative coverage when needed.
  • Support daily departmental activities and general office operations.
  • Perform additional administrative duties as assigned by management.
 
What We're Looking For
Required Qualifications:
  • High School Diploma, GED, or equivalent certificate.
  • At least one year of customer service experience.
  • Strong interpersonal skills with the ability to interact courteously and professionally with a variety of people.
  • Excellent organizational, written, and verbal communication skills.
  • Ability to work effectively in a fast-paced, deadline-oriented environment.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Ability to work independently and collaboratively as part of a team.
  • Basic computer skills and knowledge of general office equipment.
 
Preferred Qualifications:
  • Previous work experience as a receptionist.
  • Formal administrative services coursework or training.
 
Physical Requirements
Candidates must be able to:
  • Remain in a stationary position for extended periods.
  • Occasionally lift, carry, or otherwise move items weighing up to 25 pounds.
