We are seeking a versatile and dedicated Administrative Assistant to serve as the heart of our school office. In this role, you will support the Building Principal, serve as the primary welcoming face and voice for visitors and families, manage daily substitute teacher coordination, and provide basic health room coverage. The ideal candidate thrives in an active environment with frequent interruptions, handles confidential matters with absolute discretion, and builds positive relationships with administrators, teachers, students, and parents alike.
Wisconsin Heights is situated just 20 minutes west of Madison, in the picturesque Driftless Area. Our district spans approximately 100 square miles, covering the Black Earth and Mazomanie region. This area is rich in recreational opportunities and steeped in history.

Responsibilities
Primary Office Operations & Principal Support
Provide high-level clerical and administrative assistance to the Building Principal, including managing communications, scheduling meetings, and ensuring compliance with district, state, and federal regulations.
Serve as receptionist: greet visitors, answer and screen telephone calls, and route messages efficiently.
Maintain accurate physical and electronic student database files, including daily attendance records.
Manage office requisitions, order approved materials, and maintain an organized, efficient office environment.
Collect and accurately track school monies, forwarding detailed accounts to the business office.
Oversee annual mailings, update student/teacher handbooks, coordinate building key records, and operate the building announcement system.
Staffing & Substitute Coordination
Manage the daily process of securing substitutes for district staff and notify appropriate personnel of assignments.
Maintain updated substitute lists, calendars, and accurate records of staff absences.
Verify that all substitute staff hold current and valid DPI licenses/permits and ensure compliance with regulatory standards.
Student Care & Health Office Coverage
Provide coverage for the Health Office, administering first aid and basic healthcare to ill or injured students in accordance with district policies.
Complete necessary district training to safely administer student medications and medical procedures.
Contact parents/guardians regarding student health issues and prepare required incident/accident reports.
School & Community Relations
Promote a safe, healthy, and welcoming environment, maintaining a professional appearance and positive public image at all times.
Assist teachers with materials preparation as directed by the Principal.
Supervise students in non-classroom areas as dictated by the building management plan.
Participate in required staff meetings, department goals, and district level committees.
