Pay Rate: $20.77/hour
Contract: 12 months
Location: 7105 CORPORATE DR., Plano, TX 75024
Work Arrangement: Hybrid – minimum 3 days onsite per week

Position Summary:

We are seeking an experienced Executive Administrative Assistant to provide high-level, confidential administrative support to multiple executives within the Global Technology BMC organization. This role requires exceptional organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate will have strong experience managing executive calendars, coordinating complex travel arrangements, processing expenses, preparing meeting materials, and communicating with senior leaders and internal and external stakeholders.

Key Responsibilities:

  • Provide comprehensive administrative support to multiple executives, including calendar, meeting, travel, and expense management.
  • Proactively manage complex and frequently changing executive calendars, resolving scheduling conflicts and prioritizing competing demands.
  • Coordinate domestic and international travel arrangements, including detailed itineraries, accommodations, transportation, and schedule changes.
  • Prepare and process executive expense reports and reimbursement requests accurately and in a timely manner.
  • Coordinate staff events, in-person meetings, off-sites, and other department activities.
  • Prepare meeting agendas, minutes, presentations, correspondence, memoranda, and other administrative documents.
  • Communicate with executives, senior management, internal teams, and external organizations to gather and provide relevant information.
  • Maintain accurate records, files, and confidential documentation.
  • Assist the site leader with site-specific activities, access management, and organizational needs.
  • Monitor and respond to correspondence and administrative requests in a timely and professional manner.
  • Support department leadership with various administrative projects and initiatives.
  • Manage multiple priorities, projects, and deadlines while maintaining accuracy and quality.
  • Identify potential scheduling or administrative issues proactively and recommend effective solutions.
  • Handle confidential and sensitive information with the highest level of discretion and integrity.
  • Provide responsive and personable support while maintaining a professional executive presence.
Required Qualifications:
  • 3+ years of experience as an Administrative Assistant, Executive Assistant, or in a comparable administrative role.
  • Experience supporting senior-level executives or management.
  • Strong organizational, time-management, and prioritization skills.
  • Ability to work independently and manage multiple competing priorities in a fast-paced, deadline-driven environment.
  • Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail with a focus on accuracy and quality control.
  • Ability to proactively identify needs, solve problems, and follow through on tasks.
  • Professional, positive, and service-oriented attitude.
  • Ability to adapt to changing priorities and work effectively under pressure.
